The International Secretariat which deploys the daily missions of the FIDH is made up of an international team of 70 employees based in France and in several offices abroad (Belgium, Switzerland, Netherlands, Thailand, Colombia, African continent ), as well as consultants working occasionally on different programs. It is structured into an Operations and Programs Department and an Advocacy Department as well as Support Departments (Communication, Finance, Fundraising, Human Resources, etc.).

The Operations and Programs Directorate is responsible for operationalizing the FIDH strategy. It implements thematic programs which are divided into numerous activities around the world: international investigative and advocacy missions, judicial observations, organization of events (seminars, webinars, conferences, etc.) and training.

We are hiring :

AN ADMINISTRATIVE AND LOGISTICS ASSISTANT ON CDD 18 months

As an Administrative and Logistics Assistant within our organization, you will be responsible for supporting the administrative and logistical operations of the Operations and Programs Department (DOP). You will support the DOP in part of its daily administrative tasks and in the management and organization of its objectives.

Your missions are as follows:

A. Administrative management

  • Contribute to ensuring good administrative coordination between Management and support departments for the organization and monitoring of missions and activities.
  • In particular, ensure proper follow-up with the accounting of supporting documents and invoices related to activities.
  • Coordinate and monitor the administrative and financial management of external activities and services (in particular consultancy contracts).
  • Maintain an effective records management system to facilitate file sharing and retrieval.

B. Logistics

  • Organize the logistical part of travel and workshops (travel, reservation, visa, appointment making, identification of conference locations, interpretation, etc.)
  • Participate in the organization of Management meetings: agenda, organization of participation and interpretation, minutes, etc.
  • Maintain contact lists and ensure the sending of documents produced by the Management Offices.

C. Project support

  • Participate in the drafting of action plans and annual reports;
  • Assist in the preparation of reports and documents related to projects and activities;
  • Organize and monitor the translation of documents.

REQUIRED PROFILE

  • Successful experience of at least 2 years in a similar position, oriented towards administrative and logistics management – ​​experience in international cooperation or in NGOs is a strong asset.
  • Good command of office tools – experience with free software is a plus (LibreOffice, Thunderbird, etc.)
  • Good oral and written ability in French, English and Spanish
  • Methodical and organized
  • Diplomacy and ability to work effectively in a team (especially remotely) and collaborate with external partners
  • Proactivity and ability to take initiative to resolve problems
  • Sensitivity and commitment to human rights

SALARY TERMS AND CONDITIONS

18-month fixed-term contract based in Paris 11th with teleworking possibility

  • Salary from €30,000 gross annually over 13 months depending on experience.
  • 24 days of RTT per year.
  • Supplementary health insurance 100% covered by FIDH.
