The Development and Outreach Department of Human Rights Watch (HRW) is seeking an Associate to provide administrative assistance in the Berlin Office. The Berlin office serves as an important base for HRW’s development, fundraising, and outreach activities in Germany. This position is part-time at 32 hours a week (80% schedule) and requires availability to work occasional night and weekend events. The Associate reports to the Senior Director of Development and Outreach based in Berlin, and works closely with the Berlin-based Manager of Development and Outreach.

Due to COVID-19, many of our global offices are currently closed or operating in reduced capacities. The successful candidate may be required to work remotely in the interim. We recognize that this moment, during the pandemic, is a uniquely difficult time for most people, particularly those with caregiving responsibilities, and we aim to be as flexible and supportive as possible in both the recruitment for and onboarding of this position.

HRW anticipates that the successful candidate will ideally start in August or September 2021.

Responsibilities:

  1. Provide administrative support to the Senior Director of Development and Outreach and the team such as scheduling, making travel arrangements, preparing for and taking minutes at meetings, preparing background materials, processing mail, responding to inquiries, and processing and tracking department expenses;
  2. Manage the administration of all gifts, including processing, tracking and acknowledging gifts using HRW’s Salesforce database as well as regularly updating the Development and Outreach team;
  3. Manage and maintain the Germany universe of donors and prospects within HRW’s Salesforce database including updating records and information, generating financial reports, lists and queries, optimizing data collection, ensuring the integrity and confidentiality of the data, and overseeing data adherence to the General Data Protection Regulation;
  4. Identify opportunities for improvement and optimization of the use of Salesforce database and other systems, tools and processes for the Development and Outreach team in Berlin;
  5. Assist with the organization and coordination of logistics and event support for in-person and online events across Germany such as annual dinners, receptions, committee meetings, briefings, and other events throughout the year by coordinating vendors, timelines, invitations, RSVPs, event materials, venue details, and tracking of event costs and revenue;
  6. Assist with prospect and donor cultivation and stewardship with the supporter community by coordinating correspondence, contacting donors, scheduling and preparing for donor meetings, tracking communication, and preparing donor/prospect research and meeting briefings;
  7. Coordinate the development and distribution of content such as mailings, newsletters, and campaigns;
  8. Together with the Senior Director, manage all aspects of income and revenue generation for Development and Outreach in Germany, including tracking and recording leadership gifts and leadership prospects as well as regular reporting on income generation, capturing and analyzing revenue for events and donations;
  9. Assist with editing and translating documents;
  10. Assist with the recruitment, training, and supervision of interns; and
  11. Carry out other duties as required.

Qualifications:

Education: A post-secondary degree (Bachelor’s or higher), relevant vocational training (e.g. kaufmännische Ausbildung zur/zum Veranstaltungskauffrau/mann), or equivalent work experience is required. Education or training specifically in project management, event organization, administration, logistics or fundraising is preferable.

Experience: A minimum of one year of relevant work experience or other project coordination related experience is required.

Related Skills and Knowledge:

  1. Excellent oral and written communication skills in German (CEFR c2) and high intermediate English language skills (CEFR B2-C1) are essential.
  2. Prior office/administration experience and strong organizational skills with meticulous attention to detail are required.
  3. Ability to work well under pressure and meet deadlines while juggling multiple tasks simultaneously is required.
  4. Strong interpersonal skills and the ability to communicate with a variety of audiences, including donors are required.
  5. Ability to make sound decisions consistent with functions is required.
  6. Self-motivation and the ability to prioritize with minimal supervision and work independently as well as function as a member of a team with staff in locations globally are required.
  7. Strong analytical skills and the natural curiosity and creativity needed to conduct online research are required.
  8. Proficiency in computer packages including MS Office applications is required.
  9. Experience with Salesforce or other donor databases is preferred.
  10. Experience and creative instincts with web design and graphic design are desirable.
  11. Experience with project management, event planning, community engagement, and/or philanthropy is preferred.
  12. Strong interest in human rights is desirable.
