The Opportunity – Gaza Awards Officer

Post location: Gaza Field Office – Rafah and subject to change based on SC priorities and response in Gaza.

Contract Duration and Level of Effort: until 31st December 2024, with a possibility of extension based on available funds.

ROLE PURPOSE:

The Award Officer at Save the Children in Gaza will work closely with the Award Manager to provide administrative and operational support for the effective management of donor-funded projects. You will assist in coordinating project activities, compiling reports, and ensuring compliance with donor requirements. This role requires strong organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.

SCOPE OF ROLE:

Reports to: Gaza Awards Manager

KEY AREAS OF ACCOUNTABILITIES:

Administrative Support:

  • Assist the Award Manager in coordinating project meetings, workshops, and other events.
  • Schedule appointments, arrange travel logistics, and prepare meeting materials as needed.
  • Maintain electronic and hard-copy filing systems for project documentation and correspondence.

Reporting and Documentation:

  • Compile and organize data for project reports, including narrative updates, financial reports, and other documentation.
  • Assist in the preparation and submission of timely and accurate reports to donors and other stakeholders.
  • Ensure proper documentation of project activities, including meeting minutes, action points, and follow-up tasks.

Communication and Coordination:

  • Serve as a liaison between project teams, partners, and stakeholders, facilitating communication and information-sharing.
  • Maintain regular contact with project staff and partners to collect updates, address inquiries, and provide support as needed.
  • Coordinate with internal departments, such as finance and logistics, to ensure smooth implementation of project activities.

Compliance Monitoring:

  • Support the Award Manager in monitoring compliance with donor regulations, project agreements, and reporting requirements.
  • Assist in tracking project expenditures, budgets, and financial documentation to ensure accuracy and completeness.
  • Alert the Award Manager to any potential compliance issues or challenges in a timely manner.

Capacity Building and Training:

  • Participate in training sessions and capacity-building activities to enhance knowledge of award management processes, donor compliance, and reporting requirements.
  • Provide support and guidance to project staff and partners on administrative procedures and documentation standards.

Partner Agreements Check:

  • Conduct quality checks on project reports, documentation, and data to ensure accuracy and consistency for partners agreements.
  • Assist in maintaining quality standards for project deliverables and outputs in accordance with donor expectations.

In order to be successful, you will bring/have:

QUALIFICATIONS, EXPERIENCE AND SKILLS

ESSENTIAL:

  • Bachelor’s degree in International Development, Business Administration, Finance, or a related field.
  • 3+ years of previous experience in administrative support, project coordination, or grants management, preferably in the nonprofit sector or international development context.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent attention to detail and accuracy in data entry, documentation, and report preparation.
  • Proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
  • Effective communication and interpersonal skills, with the ability to work collaboratively with diverse stakeholders.
  • Ability to work independently with minimal supervision and as part of a team.
  • Commitment to Save the Children’s mission and values, with a passion for improving the lives of children and families in Gaza through effective project support and coordination.
  • Language proficiency in Arabic and English.

DESIRABLE:

  • Experience of working with NGO
  • Experience in emergency response
