Bids and Proposals Manager At Asia Society for Social Improvement & Sustainable Transformation

About the Role

We are seeking an experienced, enterprising professional to join our growing team as a Bids and Proposals Manager. This individual will play a pivotal role in organizing and prioritizing opportunities, leading the development of strong proposals, ensuring timely submission, and coordinating the entire proposal management process.

The candidate will work in a multicultural environment and gain significant insights into the creative and development sector.

Key responsibilities of the role include:

Proposals packaging

  • Lead and manage the review, shortlisting, and shortlisting of the RFP opportunities alongside BD Lead
  • Plan and manage the workflow and workload of all proposals for the unit – the proposal process including task delegation, response editing and submission
  • Oversee the proposal development process, coordinating with the proposal packaging team to manage timelines and deadlines.
  • Lead the drafting of proposals/provide direction, leveraging benchmarks, concept writing, and objectives – ensure production of high-quality proposals
  • Participate in and contribute to meetings with clients, experts, and regional colleagues as needed.

Coordination and Management

  • Organize and prioritize proposal opportunities, ensuring the team is focused on the most strategic and impactful projects.
  • Drive the proposal packaging process, ensuring all components are complete and meet the required standards.
  • Maintain a comprehensive schedule of proposal deadlines and ensure the team stays on track.
  • Coordinate with internal teams and external partners to deliver required outputs promptly.

Knowledge Management

  • Ensure compliance with internal document and knowledge management processes.
  • Organize, update, and manage internal databases, proposals, and sales materials/documents on an internal shared drive.

Expectations

  • Bachelor’s degree in Communication, Development Studies, Economics, or a related field.
  • At least 2.5-3 years of experience in RFPs/proposal writing, coordination, or knowledge management
  • Excellent written and oral English communication skills.
  • Proficiency in MS Office Applications and Google Suite.
  • Highly organized, detail-oriented, and able to drive processes ensuring timely delivery from internal teams and external partners.
  • A self-starter who can work collaboratively and independently.
  • Capable of working efficiently under pressure and producing quality output within time constraints.
  • Experiencing in proposals packaging/responding to RFPs for development sector organisations/UN agencies would be an advantage
