WFP’S MANDATE AND INTERVENTIONS IN MADAGASCAR
In Madagascar, WFP supports the government’s efforts through an assistance strategy aimed at responding to the humanitarian emergency, strengthening the resilience of communities and supporting sustainable development efforts. In collaboration with state institutions, non-governmental organizations (NGOs) and partners of the United Nations system, the WFP organizes monetary or in-kind transfers to meet the food needs of families affected by climatic hazards, provides school meals which promote access to education for girls and boys, supports the prevention and treatment of malnutrition, provides technical and financial support to groups of small agricultural producers to improve their production and their access to the market.
WFP also provides air transport service, providing humanitarian and development actors with safe, reliable and economical transport to other regions of Madagascar.
ORGANIZATIONAL CONTEXT
Positions are to be filled in country offices or field offices. The incumbents can either provide centralized administrative support functions and report to the Management Assistant, or provide administrative support to the teams reporting hierarchically to the Unit Manager or the Head of the department. , or his or her deputy. When these positions provide support in a specific sector of activity, they may report to the Head of the unit in question, the Head of department, or his or her deputy.
At this level, work is performed under minimal supervision. Incumbents are expected to produce structured and precise work, and to carry out specific management support activities. They can provide guidance on current practices to other less experienced staff members working in their area of work.
DESCRIPTION OF TASKS
- Gather information following clear guidance to assist other staff in drafting documents and preparing reports.
- Answer questions and escalate issues as appropriate to provide timely, reliable service.
- Assist in processing and managing routine administrative and financial tasks across various functional areas to contribute to effective and timely management of resources.
- Provide standard document revision and proofreading services to contribute to the development of precise documents.
- Responsible for the management of certain standard systems and files to ensure that the information is reliable and that the relevant department has easy access to it.
- Identify simple anomalies in statistics and data, such as missing information, and escalate them to help service recipients in their work.
- Take responsibility for data integrity to ensure that information in internal systems is reliable.
- Provide guidance on common management support methods and practices to less experienced colleagues to ensure services are delivered consistently and to required standards.
- Work with people from diverse backgrounds, gathering feedback where appropriate to provide management assistance to staff.
- Carry out other tasks following possible requests related directly or indirectly to the activities of the administration.
QUALIFICATIONS AND EXPERIENCE REQUIRED
Education: Have at least a secondary school diploma preferably supplemented by technical or university training related to the areas of intervention of the administration
Experience :
- Have at least four (4) years of relevant professional experience in one or more areas of administration activity (travel management, vehicle management, equipment management, etc.), including at least one year ( 01) within an agency of the United Nations System.
- Have good teamwork skills in a multicultural environment.
- Have good knowledge of common IT software (Word, Excel, SAP software, management software specific to administration such as WeTravel, Humanitarian Booking, FMS, etc.)

- Have good skills in Communication, teamwork, search for results, Analysis, analytical skills, technical expertise, planning and organization, rigor in respecting instructions and procedures
Languages: Good command of French and Malagasy with a good knowledge of work English.
