ORGANIZATIONAL CONTEXT

As part of its assistance activities for vulnerable populations in Madagascar, WFP intends to recruit for its office in Antananarivo a ( e ) Assistant ( e ) Aviation management. The candidate ( e ) will be placed ( e ) under the general supervision of the Director of Country and under the direct supervision of the Head of Air Transport ( CATO ).

MAIN RESPONSIBILITIES

Provide UNHAS customer service:

  • Receive user reservations requests, analyze them according to procedures and process them;
  • Help users to apply UNHAS flight usage procedures;
  • Coordinate with the focal points of organizations / agencies using special flights, updating the personnel lists and that of the form for designating focal points.
  • Keep users informed of any change in ( flight cancellations, postponements or delays );
  • Prepare and issue passenger and cargo manifests;
  • Hold a classification of reservations movements ( reservations requests and manifests ) as well as all documents related to the management of reservations ( form focal point, user database etc. )
  • Issue tickets to confirmed passengers on the flight;
  • Respond to requests from various sources by providing information, advice and guidance on rules and regulations related to the areas of work.

Perform all administrative tasks:

  • Write meeting letters and minutes
  • Check the state of stocks, assess supply needs and define the orders to be placed;
  • Ensure and ensure that administrative and operational documents are classified and archive;

  • Monitoring of deposited letters, signature and filing of letters with the various partners.
  • Provide monthly flight statistics including the gender dimension ( number of passengers and cargo transported by agency and by destination )
  • Ensure the process for obtaining and renewing badges and airport access tickets
  • Prepare communications, reports, presentations and other products via Microsoft Word, Excel and Powerpoint.

Provide financial and accounting support

  • Take all actions relating to purchase requests ( PR ) from the UNHAS unit in the system as the unit’s Wings focal point;
  • Manage petty cash and tracking purchases and payments
  • Act as a focal point of the system for monitoring the payment of partner invoices ( invoice Ttracking System – ITS )
  • Substitute for the assistant ( e ) Finance in case of absence.

Maintain good relationships with all UNHAS flight users

At the request of the CATO, perform all other tasks for the proper functioning of operations

KNOWLEDGE AND SKILLS:

  • Knowledge of current management practices and methods, acquired through technical training and professional experience.
  • Ability to build and maintain relationships with various people to provide an effective support service.
  • Ability to conduct simple data analyzes and independently correct problems requiring special attention.
  • Ability to monitor and record financial transactions.
  • Good communication skills needed to exchange information and work with people from diverse backgrounds.
  • Ability to maintain confidentiality of information
  • Knowledge of UN / WFP procedures considered an asset

QUALIFICATIONS MINIMUM STANDARD

Level of education :

  • Have at least the baccalaureate level.
  • Holding a university degree at DUT, BTS or License level in the field of management / administration or a qualification as a customer service agent or equivalent would be desirable.

Experience :

  • At least five years of professional experience, in the aviation field or in the public, private or humanitarian sector, with experience in administrative work.

Languages & IT :

  • Mastering the French language and English is necessary ;
  • Knowledge of the ( Word, Excel, Powerpoint package, etc. ) is essential.

SUCCESS FACTORS

  • Ability to work within a multidisciplinary and multicultural team;
  • Have experience in the humanitarian field with experience in the conduct of implementation operations, monitoring and management of databases and data analysis.
  • Being from and / or having a good experience in the intervention area
