CONTEXT AND JUSTIFICATION OF THE POSITION:

In the Democratic Republic of Congo, in its 2021-2025 country strategic plan, the World Food Programme (WFP) plans to save lives and change the lives of populations through the implementation of crisis response and resilience interventions.

To support its Kinshasa Office, WFP is seeking a Business Support Assistant/Finance who can produce structured and accurate work and carry out specific management support activities. Provide guidance on current financial practices to other less experienced staff working in the field. Carry out routine management support tasks in the finance area to contribute to effective service delivery.

MAIN FUNCTIONS AND RESPONSIBILITIES (indicative and non-exhaustive list):

  • Gather information following clear guidelines to assist other staff in drafting documents and preparing reports.
  • Answer questions and escalate issues as needed to provide reliable and timely service.
  • Assist in processing and managing routine administrative and financial tasks across various functional areas to contribute to effective and timely management of resources.
  • Provide standard document editing and proofreading services to help produce accurate documents.
  • Responsible for managing certain standard systems and files to ensure that information is reliable and easily accessible to the relevant department.
  • Identify simple anomalies in statistics and data, such as missing information, and escalate them to the next level to help service recipients in their work.
  • Take responsibility for data integrity to ensure that information in internal systems is reliable.
  • Provide guidance on current management support methods and practices to more junior colleagues to ensure services are delivered consistently and to required standards.
  • Working with people from diverse backgrounds, gathering feedback where appropriate to provide management assistance to staff.

QUALIFICATIONS AND EXPERIENCE

Training:

  • The candidate must have completed secondary education. Possession of a post-secondary degree in the functional areas of management, finance, economics, business administration is desirable.

Desired experience:

  • at least four (04) years of professional experience at increasingly senior levels of responsibility in the field of finance combined with experience in administrative work.
  • Experience in humanitarian programs.
  • Have knowledge of computers (Excell, Power Point, database).

Knowledge and skills:

  • Familiar with the use of office equipment and software packages such as Microsoft Word.
  • Knowledge of common procedures and methods to be applied to carry out the work required under minimal supervision.
  • Ability to demonstrate tact and courtesy when exchanging information with people from diverse backgrounds.
  • Ability to spot anomalies in data and correct issues requiring attention.
  • Ability to provide guidance or basic on-the-job training to less experienced staff.
  • Ability to maintain confidentiality of information

Language skills:

  • Proficiency (Level C) in spoken and written French
  • Basic knowledge of English (Level A)
