The Global Crop Diversity Trust is seeking an outstanding candidate for the position of:
Communications Assistant
Under the direct supervision of the Head of Communications, the Communications Assistant will provide communications support to the Communications Unit within the Team of External Affairs and relevant communications services to Crop Trust staff more broadly. In addition, the Assistant will provide substantive inputs to a range of communication products. These efforts are carried out in close collaboration with the members of the Communications Unit.
The responsibilities of the position include the following:
- Maintain and make available all communications processes, policies, and guidelines;
- Keep up-to-date and in-stock all communications branded materials, assist in the development of new communications products, and make materials available to all staff and external parties as required;
- Upkeep the institutional image accounts and databases, select photos for reports, PowerPoint presentations (PPTs), and other products as needed for communications.
- Upkeep and make available existing institutional PPTs, audio/visuals, and related accounts.
- Assist in the creation of new Communications PPT presentations;
- Ensure all communications equipment is documented, accounted for, and safely stored;
- Assist the Events Officer with organization and logistics of activities of the communications team, as required;
- Maintain the institutional media contact database, ensuring contacts are updated regularly and comprehensively;
- Track communications agency and consultant activity and related contracts;
- Liaise with the External Affairs’ Junior Assistant to ensure all communications budget lines and invoices are processed and up-to-date;
- Support the Head of Communications in budget planning and monitoring and attend monthly meetings with the Head of Communications and Finance Officer to ensure budget alignment;
- Assist with communications staff and consultant hiring and assessment, onboarding and training;
- Perform any other duties as required.
Qualifications, Skills, and Experience
- Secondary education and a minimum of three years of relevant experience, preferably in an international working environment;
- Fluent English language, both written and spoken; knowledge of other internationally used languages is an advantage;
- Proficiency in relevant software packages (Macintosh OS, Microsoft Office);
- Proficiency in Adobe Creative Suite (InDesign, Illustrator) is an asset
- Knowledge of standard office procedures;
- Demonstrated personal organization, priority setting, and accuracy;
- Sound judgment and initiative; ability to work independently within assigned areas;
- Good interpersonal, communications, and teamwork skills; courtesy, tact, and the ability to establish and maintain effective working relationships with people of diverse cultural and national backgrounds;
- Strong client orientation and service approach, including the ability to anticipate clients’ needs.
Terms and Conditions: The Crop Trust offers an attractive remuneration package including a competitive salary, non-contributory retirement savings plan, medical insurance, and leave provisions. This is a General Service position classified as Level 2, with Level 3 being the highest. The salary range for this Level 2 position starts at Euro 35,000. All benefits are denominated and paid in Euros. Staff of the Crop Trust (including German nationals) are exempt from host country income tax. Relocation costs are not covered. The initial contract will be for a period of three years, subject to a probationary period of one year.
