JOB SUMMARY

The Compliance and Grants Senior Officer ensures organizational adherence to donor requirements, internal policies, and applicable laws. This role focuses on monitoring grant activities, ensuring compliance, and supporting the development and management of grant proposals and agreements. The officer also oversees financial and administrative compliance, ensuring transparency, accountability, and efficiency.

Key Responsibilities:

Compliance:

  1. Ensure organizational compliance with donor regulations, internal policies, and applicable legal standards.
  2. Develop, review, and update compliance policies, procedures, and tools.
  3. Conduct periodic internal reviews to identify potential compliance risks and address gaps.
  4. Provide training to staff on compliance matters, donor guidelines, and ethical standards.
  5. Maintain an up-to-date knowledge of donor regulations and disseminate updates as needed.

Grants Management:

  1. Oversee the preparation, submission, and management of grant proposals and reports in compliance with donor requirements.
  2. Monitor grant expenditures to ensure alignment with approved budgets and donor guidelines.
  3. Review and maintain grant agreements, amendments, and supporting documentation.
  4. Support program teams in meeting reporting deadlines and requirements.
  5. Liaise with donors to ensure clear communication and address any compliance-related queries or issues.

Monitoring and Reporting:

  1. Collaborate with program and finance teams to ensure the timely and accurate submission of financial and programmatic reports.
  2. Monitor grant activities to ensure that all deliverables and milestones are met.
  3. Track and analyze grant performance metrics, highlighting risks or concerns.

Risk Management:

  1. Identify and assess potential compliance risks, providing recommendations to mitigate them.
  2. Investigate and address compliance issues promptly and professionally.
  3. Prepare for and facilitate donor or external audits, ensuring readiness and accuracy of records.

Qualifications and Requirements:

Education:

  • Bachelor’s degree in business administration, Finance, International Development, or a related field. Master’s degree preferred.

Experience:

  • Minimum of 3–5 years of experience in grants management, compliance, or related fields.
  • Familiarity with donor regulations (e.g., OCHA, UN, EU, or other major donors).
  • Experience in nonprofit or humanitarian sectors is highly desirable.

Skills:

  • Strong understanding of compliance and risk management principles.
  • Excellent organizational, analytical, and problem-solving skills.
  • Proficiency in financial management and budgeting.
  • Exceptional communication and interpersonal skills.
  • High proficiency in Microsoft Office and grants management software.
  • Englisg language writing and speaking skills.
