Consultant – M365 Google to SharePoint Data Migration – US Remote At Mercy Corps

Purpose / Project Description:

Mercy Corps is currently working to migrate all active data for all country locations and HQ departments from Google Workplace into SharePoint online. This work will involve data gathering from users, data analysis, site architecture design, user training, etc.

Consultant Objectives:

The candidate for this consulting engagement will assist in all efforts around holding discovery sessions with dataset stakeholders to understand their needs in the new SharePoint architecture with security in mind. Assist with data mapping from current location in Google and identification of final location for move into SharePoint.

Consultant Activities:

The Consultant will:

  • Work collaboratively with business and project leads and other impacted departments, and coordinate efforts across stakeholder groups in assisting to set goals and expectations on data migration
  • Interpret reports to suggest organization of data for optimum performance, security and usability and work with business stakeholders ensuring compliance with the overall migration strategy
  • Working with project team and business units to confirm migration plan, manage preparation and timing of data migration
  • Schedule, participate and sometimes lead daily discovery sessions with various dataset owners to understand how data is currently used and will be used in new SharePoint locations, including access (permissions) needs by different team members or groups
  • Engage with stakeholders to perform needs analysis (as noted above), and analyze those results to recommend an appropriate SharePoint site and permissions structure for all identified / named headquarters departments (both in MCG and MCE)
  • Support an audit / review of existing SharePoint sites related to headquarters department and make recommendations for their function / use / archiving
  • Assist M365 transition team with data mapping from current Google drive location into SharePoint to determine exact beginning and ending points of documents / data
  • Engage with stakeholders to perform validation of data moved into SharePoint and assist with any necessary follow up post migration
  • Support user training needs by assisting in provision of training on Microsoft and SharePoint, in collaboration with M365 Training Specialist (or other identified team members)

Consultant Deliverables:

The Consultant will:

  • Participate in M365 migration strategy planning sessions
  • Schedule and participate in end user data discovery meetings for US/EU team members until all data discovery and mapping strategies are defined
  • Provide reports on data usage discovery sessions with various teams, departments, programs
  • Provide data mapping strategy from current data location into SharePoint
  • Provide group security permission requirements for SharePoint sites
  • Provided suggested and final versions of SharePoint architecture for each of the headquarters departments and teams

Timeframe / Schedule:

3-6 months. Consultant will be an active member of the M365 transition team participating in all data migration planning activities, meeting approximately three to five times a week through the duration of this engagement.

Required Experience & Skills:

  • 7+ years of relevant experience with a proven ability to execute on technology and collaboration projects
  • Leadership and project management capabilities with demonstrated success completing multiple cross-functional and cross-business projects.
  • Excellent written and verbal communication skills with the ability to communicate at various levels, including senior leadership.
  • Experience working closely with cross-functional teams and balancing competing workloads
  • Self-motivated with ability to not only work in group/individual setting, able to drive action independently with little to no direction.
  • Proficiency in MS Office applications, SharePoint, OneDrive and MS Teams
