Position Summary

The Data Services Manager is responsible for ensuring the success of AWF’s Development team by optimizing the capabilities of our CRM eco-system. It is the Data Services Manager’s primary duty to make certain that our database underpins the successful implementation of the Development team’s short-term and long-term goals and strategies. This success relies on the premise that donor information is securely captured to create a 360-degree view of our constituents with the objective of facilitating a strategic, multi-channel fundraising effort for the organization’s Development department.

Key Responsibilities

Database Governance

  • Ensure all Raiser’s Oversee entry of gifts from all channels into Raiser’s Edge and ensure they are coded with the appropriate campaigns, funds, appeals in accordance with gift coding constitution ensure all supporting documentation is uploaded into Raiser’s Edge.
  • Translate various stakeholders’ programmatic strategies and goals into the database efficiently and collaboratively.
  • Counsel on optimizing data capture, creating a 360-degree view of all AWF constituents and their interactions with the organization.
  • Coordinate the documentation of all AWF-specific Database Policies and Procedures
  • Conduct staff trainings to share knowledge on using the database and related tools successfully.
  • Oversee creation and implementation of new processes required by growing number of payment processors, accepted currencies and updates to donation forms and processes.
  • Manage the execution of necessary quality control queries to ensure data is hygienic and functional.
  • Evaluate the ongoing investment of EN/Omatic/RE integration and partner with Director, Data Services to make any significant updates to infrastructure including onboarding new tools.

Data Services Management

  • Scope, strategize, and implement approved solutions for all new Data Services functionality items, issues, and requests.
  • Ensure successful, timely delivery of data related requests from the External Affairs team.
  • Create and communicate project status to the appropriate stakeholders, as well as prepare appropriate documentation to guarantee consistency in procedures in the following years.
  • Provide training on gift processing and database management to the Data Services Coordinator and Assistant along with the Director, Data Services and serve as a resource for staff when questions arise.
  • Liaise with finance department to ensure Raiser’s Edge reconciles with financial database, including providing monthly reports on Revenue, Pledge Status, etc.
  • Ensure that the data in Raiser’s Edge is appropriately managed to assist in the yearly audit as well as ongoing reconciliation.

External Affairs Support

  • Prepare all renewal lists for review by solicitors, so that individualized strategies can be devised, coordinate execution of renewals and ensure that they are in turn reflected in RE.
  • Compile mailing lists for all Major Gift publications and renewals.
  • Oversee the processing of receipts for all Trustees and Major Donors gifts to ensure appropriate customization and timeliness.
  • Design complex queries for sophisticated segmentation of donors, allowing the creation of more targeted correspondence based on affinity, capacity, and interaction with the organization.
  • Provide technical support for Raiser’s Edge and data related issues to External Affairs team.
  • Encourage socialization of Data Services policies by the External Affairs team by adhering to and communicating transparent policies.
  • Create queries and produce reports specifically pertaining to the gift entry process and revenue analysis for various stakeholders including new markets.
  • Develop and update reports and metrics that allow the larger External Affairs team to make strategic decisions.

  • Ensure PCI Compliance is maintained, and regulations are adhered to by AWF staff members.

Requirements and Skills

  • Bachelor’s degree with 5+ years of experience, 3+ years of managing staff or large portfolio or project.
  • Advanced database management experience.
  • Experience with Raiser’s Edge.
  • Innovative troubleshooting skills.
  • Strong organization skills.
  • Detail oriented.
  • Excellent communication skills.
  • Must be able to work under pressure and be results oriented.
