JOB SUMMARY & KEY PRIORITIES:
The Director, Finance oversees the global Finance Department and is responsible for the organization’s accounting processes and procedures, maintenance of its financial records and system of internal control, financial statement preparation, budget process, grant financial reporting, oversight of annual audit/tax return preparation, and the management of accounting and financial software systems.
KEY RESPONSIBILITIES FOR SUCCESS
ACCOUNTING & FINANCIAL FUNCTION
● Coordinates the operation and structure of the organization’s accounting systems.
● Ensures compliance with Generally Accepted Accounting Principles and other applicable regulatory and tax rules and regulations.
● Manages the monthly, quarterly and annual closing process.
● Reviews monthly bank and investment reconciliations.
● Reviews monthly journal entries posted to the general ledger.
● Prepares monthly intercompany clearing, revenue and other entries as needed.
● Prepares quarterly and annual accounting entries, as needed.
● Manages the annual reconciliation of general ledger balances to audited financial statements.
FINANCIAL SYSTEMS
● Manages all accounting, payroll and finance related software and systems.
EXTERNAL AUDITS AND ANNUAL NONPROFIT TAX RETURNS
● Focal point for global audits and ensures audit readiness, meeting agreed upon audit timeline and budget.
● Manages the annual financial and federal award compliance examination for Grameen Foundation USA and affiliates.
● Manages any donor specific audits required.
● Manages the preparation of annual nonprofit tax returns for Grameen Foundation USA.
● Manages the preparation of annual nonprofit tax returns for Freedom from Hunger.
● Timely preparation of the annual Negotiated Indirect Cost Recovery Application with USAID, Grameen’s USG cognizant agency, responds to queries from USAID, as needed, and ensures timely finalization of NICRA rates.
TREASURY AND CASH MANAGEMENT
● Maintains relationships with various banking, investment and international currency transfer institutions.
● Manages banking, investment and international currency transfer account setup, closure and user access.
● Prepares periodic investment account reports for the Leadership Team and Finance Committee and ensures compliance with investment policy guidelines.
● Prepares annual reporting of foreign bank accounts as required.
PAYROLL
● Maintains relationship with payroll service provider.
● Processes periodic payroll for US based staff.
● Manages state payroll registrations, reviews tax notifications and annual payroll tax return filings to ensure compliance with federal and state payroll tax regulations.
● Manages workers compensation coverage for US paid staff.
BUDGETING & FORECASTING
● Prepare the annual and mid-year budget, per published annual budgeting process guidelines.
● Update the fiscal year forecasts in coordination with various key stakeholders, as needed.
● Work with the CFO in reviewing and explaining actuals vs. budget variances.
● Provide other support as needed.
DONOR COMPLIANCE AND REPORTING
● Review grants and contract proposal budgets as needed.
● Review quarterly grants and contract summary/schedule of US federal awards.
● Work with the CFO in reviewing and explaining actuals vs. budget variances.
BOARD OF TRUSTEES
● Prepare reports and attend Audit Committee, Finance Committee and Board meetings, as needed.
MANAGEMENT AND BOARD REPORTING
● Prepares monthly consolidated financial statements for the Leadership Team and Finance Committee.
● Prepares periodic consolidated financial reports for Board meetings.
● Prepares periodic financial reports for Freedom from Hunger Board meetings and advises on contributions to be made to Grameen Foundation USA.
RETIREMENT PLAN
● Maintains relationships with retirement plan administrators and investment firms.
● Manages annual retirement plan compliance, testing, and Form 5500 filing.
● Serves as a member of the 401k Plan Committee and prepares and presents period reports to the Committee.
TAX AND OTHER STATUTORY COMPLIANCE
● Prepares tax and other statutory compliance reports as needed.
INSURANCE
● Maintains relationship with insurance broker.
● Prepares insurance applications as needed and ensures all policies are renewed on a timely basis.
● Maintains insurance summary report and liaises with insurance broker to provide annual insurance coverage report for the Leadership Team.
● Coordinates with field offices’ Country Managers and Regional Directors to ensure that country/field offices have adequate insurance coverage
HUMAN RESOURCES
● Provide support for new hires and terminations.
● Provide other support as needed.
INSTITUTIONAL RELATIONS
● Participate in the grants and contract proposal review process as needed.
● Provide other support as needed.
LEGAL
● Provide support for annual fundraising registrations, as needed.
● Provide other support as needed.
POLICIES AND PROCEDURES
● Prepares and oversees financial policies and procedures to ensure internal controls are in place.
● Prepares and updates cost allocations, intercompany accounting, revenue recognition and other policies on an as needed basis.
STAFF SUPERVISION
● Supervises the Controller, Staff Accountant Field Office Support and Business Analysts.
OTHER
● Carry out additional work/tasks as delegated by the CFO
Knowledge, Skills, Abilities and Prior Experience
• Designation of certified public accountant (CPA), with a bachelor’s degree in accounting and/or finance, required.**
• At least 7 to 10 years of experience with budget preparation, financial management and reporting
• At least 7 to 10 years of experience with the design and implementation of accounting processes and systems.
• Minimum of 5 years senior level financial experience with a small to midsize nonprofit organization or in a public accounting firm working with nonprofit clients. Preferred.
• Thorough knowledge of not-for-profit accounting and generally accepted accounting principles.
• Detail oriented and excellent problem-solving, planning. And analytical skills.
• Ability to think strategically and plan for long-term goals.
• Excellent verbal and written communication skills.
• At least 5 years of previous experience training and supervising staff.
• Ability to communicate effectively and tactfully with a variety of individuals within and outside the organization.
• Skilled in enterprise accounting and information systems as well as personal software programs such as MS Excel. Word, Outlook and Access.
• Some travel may be required.
