Donor Database Coordinator at ORBIS International

JOB SUMMARY

As a member of the U.S. Development Department, the Donor Database Coordinator provides data entry and database management support, quality donor care for existing direct marketing donors and prospects, and administrative and logistical support as needed. The Coordinator will play a key role with our team to ensure donor data administration and communications are smooth, accurate, and timely.

REPORTING & WORKING RELATIONSHIPS

The Donor Database Coordinator reports to the Associate Director, Donor Development. They work closely with the Associate, Donor Development and other members of the US Development team and liaise with colleagues cross-departmentally as needed.

ESSENTIAL JOB FUNCTIONS / KEY AREAS OF RESPONSIBILITY

  • Perform daily data entry to help keep Raiser’s Edge donor database up to date and ensure good data hygiene.
  • Administer efficient gift processing, including scanning, filing, and mailing duties.
  • Generate reports, queries, and lists from database routinely and upon request.
  • Work with donor acknowledgement vendor to transfer donor data reports.
  • Answer incoming phone calls from donors and provide excellent customer service, redirecting and transferring calls as appropriate.
  • Work with the Associate, Donor Development to field inquiries in the donor email inbox, responding to donor inquiries and requests, accepting contributions over the phone, and maintaining documentation.
  • Prepare special small-scale mailings and fulfillment services for direct marketing.
  • Track vendor invoices and prepare check/wire transfer requests, purchase orders, and other expense documentation as needed.
  • Coordinate the department’s inventory of general supplies and materials such as branded merchandise and brochures.
  • Engage in monthly intentional equity activities to inform and drive conversations around diversity, equity, and inclusion.
  • Provide additional administrative support as needed, as well as logistical support for occasional special projects and events.

QUALIFICATIONS & EXPERIENCE

  • Bachelor’s degree is preferred.
  • Minimum 2 years’ experience in fundraising, sales, data, administration, or related field.
  • Raiser’s Edge donor database experience required.
  • Must be able to work on site in our NYC-based office.

  • Strong computer skills including proficiency in Raiser’s Edge and Excel, as well as the ability to quickly learn new applications.

LOCATION

This position requires on-site work for gift processing in our NYC office.
