Executive Coordinator, Office of the Deputy Secretary General At Amnesty International

JOB PURPOSE

In this role you will support the work of the Deputy Secretary General (DSG) and ensure the efficient coordination of their Office in its internal and external facing activities. You will assist the DSG in the forward planning and monitoring of the directorate’s long and short-term goals and coordinate activities accordingly. The postholder also manages the DSG’s diary and assists with preparation of travel and other engagements. As an active member of the OSG, the postholder also completes tasks that relate to the Office of the Secretary General core functions as per request from the Head of OSG. The postholder might be required occasionally to contribute to project work in line with priorities.

ABOUT YOU

An organized individual with strong inter-personal skills, you will have experience of working in complex, high paced environments with conflicting priorities and across time zones, ideally with an understanding of the operations of international NGOs and the role of senior leadership in the management and oversight of operations. You will be passionate about human rights, and be able to communicate clearly and diplomatically in English, for a range of internal and external audiences.

MAIN RESPONSIBILITIES

  • Manages the DSG daily diary, and takes responsibility for scheduling meetings, arranging travel, coordinating agendas and briefings, and communicating and following up on action points or decisions.
  • Manages the DSG’s correspondence and acts as the first point of contact for external and internal stakeholders, managing the day-to-day flow of information requests and approvals received by the DSG.
  • Coordinate and support meetings: prepare agendas, arrange logistics, collate, and circulate materials, and assist in reporting/minuting for meetings the DSG is responsible for or has convened. Ensure information is provided and arrangements are made accurately and timely.
  • Plan and organise events across directorate, resolving any problems encountered to deliver professional and well-run events that enable participants to achieve objectives and outcomes.
  • Oversee application of financial procedures and carry out budgetary control tasks, including budget forecasts, processing and monitoring of expenditure, monitoring of monthly financial reports for the DSG Office.
  • Support with logistics for OSG programme events (online, workshops, conferences etc.) including travel and venue arrangements when necessary.

SKILLS AND EXPERIENCE

  • Experience in supporting senior leadership, with confidence to interact with high level partners and stakeholders and to represent the DSG Office internally and externally.
  • Experience of coordinating meetings, building agendas, taking minutes, and preparing reports.
  • Experienced in and capable of handling confidential information relating to human rights issues, organizational issues, staffing/personnel, and other matters.
  • Strong administrative skills and the ability to organise and manage systems for information flow, filing and data management, and diary management.
  • Fluency in a second language other than English is highly desirable.
