NetHope is seeking and experienced, organized, and enthusiastic professional to provide high-level support to NetHope’s Senior leadership Team (SLT). The Executive Project Manager is a highly engaged and proactive team member working across calendar management, meeting preparation, outreach, operations, event logistics, and special projects. This role is ideal for a driven, ambitious professional seeking a fast-paced environment supporting executive leadership. Because NetHope works in a virtual environment with team members around the world, the Manager must be highly organized, have strong project management skills, work independently, engage with team members in a virtual environment, and implement standing processes and procedures for effective communication and workflow.
Specific responsibilities include:
Senior Leadership Team Support and Project Management
- Provide excellent project management within cross-departmental teams and matrixed project leadership, while maintaining strong relationships with internal and external stakeholders.
- Create and implement processes and systems to support the management of multiple projects and deadlines
- Develop and execute strategies to enhance and maintain the CEO’s relationships with external stakeholders including NetHope Members, funders, and community leaders.
- Anticipate the CEO’s needs and opportunities for engagement, and act as a proactive resource to ensure ongoing, meaningful connections with critical stakeholders.
- Support the CEO in scheduling and preparing for meetings, presentations, and events by gathering relevant information, consulting relevant internal stakeholders, drafting talking points, and preparing presentation materials
- Attend weekly SLT meetings to review calendar, determine priorities, seek input, and report on progress/follow-ups needed
- Track post-meeting action items, send reminders, and draft follow-up communications to ensure decisions are implemented and tasks are completed.
- Manage the organization wide annual calendar and SLT Workplan
- Manage CEO calendar and field requests for meetings from partners, donors, and members in collaboration with appropriate SLT member
- Support the SLT on special projects, including managing cross-functional work efforts, tracking deliverables, and maintaining project timelines.
- Support visa and travel needs for SLT as requested
Global Summit Project Management
- Perform the overall project management for the Global Summit in support of the Global Events Production Lead and Chief Administrative Officer
- Maintain and manage Asana tracking and milestones
- Serve on the speaker assistance team and be the point person for all executive speakers to ensure a smooth experience including confirmations, regular communications, technical guidelines, and on-site support.
- Manage VIP attendees including invitations, communications, and on-site support of all main stage speakers
- Serve as the lead contact for the Summit support email and work collaboratively with the Summit team on follow-ups
- Serve as an expert on the Cvent events platform by testing, ensuring accuracy, running reports, and providing registration support
- Manage special event invitations and RSVPs
- Prepare and share weekly reports on key performance indicators
- Provide onsite support and registration management
- Manage special Summit related projects as assigned

- Demonstrated experience with Microsoft Office Suite including the creation of PowerPoint presentations

- Strong initiative, eagerness to learn, and ability to work independently in a virtual environment
- Demonstrated ease of working across functional areas and with stakeholders at all levels of the organization
- Multilingual verbal and written communication skills a plus
Education and Experience
- Experience using Salesforce, Asana, and Microsoft Office.
- Minimum 4 years experience in Executive support and project management
- Bachelor’s degree from an accredited institution preferred or equivalent work experience
- NetHope Member experience highly valued, other NGO experience a plus
Reporting and Working Conditions:
- This position is a full-time position that reports to the Chief Administrative Officer and works closely with other members of the Senior Leadership Team
- NetHope is a virtual organization, so our team, our Members, and our Partners are located around the world. Due to the global nature of the organization, meetings may thus be required at any time of the day to meet with our stakeholders in varying time zones. To meet these needs, NetHope embraces flexible schedules for team members, and we work with each other to be located globally, but still maintain a reasonable work time balance.

- This position is 100% remote and virtual. A stable internet connection is required to participate in on camera meetings throughout the workday. International or domestic travel may be required for two to three NetHope events annually.
