Background:
The American Bar Association Rule of Law Initiative (ABA ROLI) was established in 1990 as a public service project of the ABA to promote the rule of law around the world and has implemented legal reform programs in more than 100 countries. Together with local partners in the public and private sectors, as well as civil society organizations, ABA ROLI designs programs that are responsive to local needs and that prioritize sustainable solutions to pressing rule of law challenges.
The Human Rights for All (HRA) Project, working in close alliance with civil society organizations, government entities, and other stakeholders, aims to strengthen the Guatemalan human rights system so that all citizens are respected and protected. Through advocacy, education, awareness-raising, and capacity building, the project will promote a culture of respect for human rights to foster the further development of Guatemala. The goal of the HRA project is to strengthen Guatemala’s human rights system.
Job Description:
The Field Financial Officer – Finance (FFO) works with ABA program teams in Guatemala and DC to support the activity implementation of the HRA program. The FFO will report to the Field Finance and Administration Manager (FFAM), and will be primarily responsible for coordinating financial and administrative support to carry out all technical or programmatic activities of the Project.
Location:
This position will be based in Guatemala City, Guatemala.

Responsibilities:

  • Participates in the coordination of logistics and administrative assistance to carry out programmatic activities and day-to-day office operations;
  • Maintains and updates the official office calendar and contact list, staff vacations;
  • Performs all accounting assistant duties including, but not limited to, physical and digital collection and organization of invoices and receipts, bank documents, transcription of expense, payment and investment data into the accounting system(s) or software operated by ABA ROLI.
  • Petty cash management;
  • Manages all matters related to office operations on a daily basis; eg supplies (stationery and other desk supplies), vendor relations (consumables, telephone and internet);
  • Prepares and submits expense reports for travel (and other types), supports in the design and control of financial reports related to program activities;
  • Supports the review of the subgrantees’ financial reports;
  • Organizes financial information and presents it to the FFAM;
  • Support expense projections for all program activities;
  • Requests and maintains contract tracking and coordinates with the FFAM if modifications are required;
  • Support the completion of program financial reports;
  • Assist the Chief of Party and FFAM in preparing and reporting travel (and other) expenses;
  • Supports in coordinating logistics for training workshops in Guatemala;
  • Completes all activities related to the position, as well as those indicated by the FFAM, Chief of Party, and ABA ROLI HQ.

Basic Qualifications:

  • Bachelor’s studies in accounting, administration, economics, or other relevant field.
  • At least three years of work experience in accounting and administration of private organizations.
  • Minimum of 1 year of supervisory work experience, including direct supervision of professional and support staff.
  • Knowledge and experience in the preparation of tax returns and tax declarations. Handling of ExcenIVA virtual tools.
  • Knowledge and experience in preparing financial statements.
  • Experience in managing accounting systems.
  • Fluency in Spanish; proficiency in English (writing, reading, and conversation).
  • Proficient in Microsoft Office (Excel and Word)
  • Ability to work in a team.

Preferred Qualifications:

  • Experience within an international NGOs or multilateral institution working with US government-funded projects, including familiarity with ADR and 2 CFR 200.
  • Demonstrated ability to perform administrative and logistical tasks, follow procedures, and comply with regulatory requirements.
  • Familiarity with human rights protection and access to justice-related issues in Guatemala.

Antecedentes:
La Iniciativa Estado de Derecho de la American Bar Association (ABA ROLI) se creó en 1990 como un proyecto de servicio público de la ABA para promover el Estado de Derecho en todo el mundo y ha puesto en marcha programas de reforma jurídica en más de 100 países. Descripción del puesto:
El Oficial Financiero – Finanzas (FFO) reporta al Gerente Administrativo y Financiero del Proyecto, y trabaja con los equipos del programa ABA en Guatemala y DC para apoyar la implementación de actividades del programa HRA. El FFO será el principal responsable de coordinar el apoyo financiero y administrativo para llevar a cabo todas las actividades técnicas o programáticas del Proyecto.
Ubicación:
Este puesto tendrá su base en Ciudad de Guatemala, Guatemala.

Responsabilidades:

  • Participa en la coordinación de la asistencia logística y administrativa para llevar a cabo las actividades programáticas y las operaciones cotidianas de la oficina;
  • Mantiene y actualiza el calendario oficial de la oficina y la lista de contactos, las vacaciones del personal;
  • Realiza todas las tareas de asistente contable, incluidas, entre otras, la recopilación y organización física y digital de facturas y recibos, documentos bancarios, transcripción de datos de gastos, pagos e inversiones en el sistema o sistemas contables o programas informáticos operados por ABA ROLI.
  • Gestión de la caja chica;
  • Gestiona diariamente todos los asuntos relacionados con el funcionamiento de la oficina; por ejemplo, suministros (papelería y otros artículos de escritorio), relaciones con los proveedores (consumibles, teléfono e internet);

  • Support in the logistical coordination of training workshops in Guatemala;
  • Performs all activities related to the position, as well as those indicated by the Administrative and Financial Manager, the Project Director, and the ABA ROLI headquarters.
