Finance Accountant

Mission

Reporting to the Finance Manager, North-West Hub (NWS) the selected Accountant is going to be responsible for the accounting and finance activities of the Hub according to the HI financial processes and procedures, respecting donor rules and regulations and local legislation in practice. S/he closely works with other shared services units (Logistics, HR) and projects teams in all Hub bases, and acts as a focal point on partnership financial follow-up matters.

Tasks and responsibilities:

Responsibility 1: Regular keeping of the accounts.

· On a daily basis, makes entries in the accounting Information System (IS), ensuring that the descriptions of the entries are accurate and consistent with accounting allocations and that all the required fields are completed, in keeping with HI’s chart of accounts.

· Takes delivery of supporting documents and translates the essential elements into one of HI’s working languages (French or English)

· Formalises requests to create or close accounts journals in the accounting IS.

· Prepares all the documents for the monthly and annual closing of accounts.

· Creates Immo (fixed assets) sheets in the accounting IS and sends the fixed assets’ identification number to Logistics for recording in the Equipment Monitoring Chart.

· May be required to temporarily replace a member of the accounting team.

· Prepares any supporting documents asked for by internal or external auditors.

Responsibility 2: Archiving accounting documents

· Produces the accounting documents slip

· Ensures the legibility and regular scanning of supporting documents.

· On a monthly basis, archives scanned documents on a server and paper documents in a location that guarantees their physical integrity.

· Sends supporting documents (paper or digital format) to their final storage locations.

Responsibility 3: Contributes to the quality of partners’ financial information

· Checks the supporting documents provided by partners and the accuracy and conformity of their accounts before validating payment requests.

· Enters any cost-accounting changes & budget modifications related to partnerships into the Financial Information System (FIS).

Note that this job description remains flexible to respond to additional tasks or changes as identified by the Line manager.

Required Qualifications:

Essential:

  1. Diploma in Accounting, Finance or any other related field.
  2. 1 year of experience in a similar position.
  3. Strong Computer Skills, especially in excel datasheets.
  4. English Language proficiency is a must

Desirable:

  1. Practical knowledge of Microsoft Dynamics NAV, other accounting systems/software experience.
  2. Prior experience in NGOs/INGOs would be an asset.
  3. Experience in remote management would be an asset.
  4. Previous Knowledge of donors’ environment would be an asset.
