The Program / Department / Team (Resource Development / Development Operations)

The mission of the Resource Development (RD) department is to advance the organization’s strategic goals and support our worldwide team by raising flexible funds, profile, and influence. The RD team encompasses several dozen dynamic professionals who possess a wide range of skills. We are gift officers, direct response fundraisers, web developers, marketers, and media relations strategists. We are database managers, digital specialists, creative designers, storytellers, and teachers. Most of all, we are passionate about Mercy Corps’ mission and believe a better world is possible.

The Position

The RD Finance & Administration Coordinator manages workflows for Resource Development expenses, acting as the primary contact with the Finance department to ensure consistency, compliance, and accuracy; assists the Senior Director of RD Development Operations & Analytics with monthly budget and forecasting processes; prepares monthly financial reports and various expense schedules. Additionally, they maintain state charitable solicitation registrations, and provide a wide variety of support across the department.

Essential Responsibilities

FINANCE COORDINATION

  • Manage RD Invoices workflow, including intake of RD vendor invoices, securing approvals, obtaining required supporting documentation, and submitting to Finance for payment
  • Interface with vendors to ensure timely payments and accurate payment details
  • Support RD budget managers with expense tracking and reconciliation; troubleshoot coding or other expense issues and liaise with Finance
  • Manage use and access to RD corporate credit card
  • Assist RD staff with financial policy and procedure compliance. Train new staff in relevant policies and procedures, such as Approval Authorities, basic procurement procedures, eligibility of expenses, travel, etc.

PROCUREMENT & COMPLIANCE ASSISTANCE

  • Assist all RD staff with procurement policy and procedure compliance
  • Track vendor contracts in RD and ensure all are properly filed
  • Support RD Master Service Agreements (MSA), including process flows and vendor payments

REGISTRATIONS

  • Complete all necessary paperwork for annual state registrations and coordinate with Mercy Corps vendor to ensure that Mercy Corps remains in compliance to fundraise in all U.S. states.
  • Regularly monitor Charity Watchdog sites and provide timely organizational updates
  • Evaluate philanthropic survey opportunities and compile information for participation

OTHER

  • Cross train with the Donor Services Team on phone calls; provide phone coverage during busy periods and up to 10% of time.

Works Directly With: Development Operations team, Corporate Finance team, Resource Development department, Procurement team

Mercy Corps team members are expected to support all efforts toward accountability, specifically to our program participants, community partners, other stakeholders, and to international standards guiding international relief and development work. Minimum Qualification & Transferable Skills

  • College degree or equivalent in a related field preferred.
  • Proficiency with Microsoft Office Suite, with strong Excel skills
  • Two years of experience in an office environment, preferably in non-profit
  • Extremely detail oriented, highly accurate and precise in complex multi-step processes
  • Experience working with financial data and reconciling information across sources (or a desire to learn more about expense management)
  • Excellent problem solving and interpersonal skills
  • Ability to work across teams and departments with a variety of constituents
  • Strong written and spoken communication skills

Living Conditions / Environmental Conditions

Position is based in Portland, Oregon at Mercy Corps Headquarters, beginning remotely and transitioning to some days in the office depending on COVID safety requirements.
