Médecins du Monde is in the process of registering a new organization in Kenya “Médecins du Monde in Kenya”. The successive episodes of drought and floodings over the last few years drastically undermined living conditions and access to healthcare, particularly for the most vulnerable population groups facing the direct repercussions of global warming. This, along with the deterioration of the regional context in the Horn of Africa, are the reasons behind MdM’s return to Kenya.

MdM’s strategy is to strengthen the resilience of local actors, by:

· Supporting the health authorities to strengthen access to Primary Health Care and Sexual and reproductive health

· Partnering with local NGOs, for engaging the community on activities related to health (with a focus on Gender Based Violence, Female Genital Mutilation, Mental Health and Psychosocial Support …)

· Mobilizing local actors on the elaboration of an emergency preparedness plan for the county

Médecins Du Monde is looking for A FINANCE AND HUMAN RESOURCES OFFICER

By taking this role, you will have the opportunity to join a fully new team and participate in creating and designing the policies and processes of a new organization.

Main responsibilities of the position

The aim of the position is to provide financial and HR support in accordance with procedures laid down for the mission and MdM guidelines to provide optimum support to the programmes..

The Finance and HR Officer will have to:

  • Manage the cashbox and prepare payments from the bank account after the approval of the Finance Coordinator and check that the documentation provided is compliant with MdM internal procedures. Enter the writings into the accounting software and archive the necessary documentation in Sharepoint. Make regular bank reconciliations and cashcounts.
  • Prepare monthly fund request for Nairobi expenses
  • Participate in the preparation of annual reports to authorities (KRA, NEA…) and prepare and make monthly payments in due time to organisms and authorities (WIBA/GPA, GLA, NSSF, KRA…).
  • Implement the Human Resources policies and procedures in collaboration with the Human Resources Coordinator:
  • Support on recruitments (preparation and publication of adverts, communicate with the HR officer in Marsabit to get local applications, collect applications in Nairobi, prepare the first shortlist, supervise tests, call candidates for test and interviews, supervise tests, inform them of the outcome of their application, of the employment conditions and list of documents to provide, prepare and send job offers, send reference checks…)
  • Prepare an induction planning with the managers for the newcomers and follows up briefings are completed. Brief on his/her area of activity.
  • Preparation of work employment contracts and amendments, as well as end of contract documentation. Ensure employee files are complete and documents signed and understood by the employees.
  • Make sure all employees are registered with the necessary administrations and organisms (WIBA/GPA, GLA, NSSF, KRA…).
  • Prepare the documentation for Casual Workers in compliance with national and MdM procedures, make payments and update the Casual Worker database
  • Follow up and communication on leaves and absences, perdiem, …
  • Prepare the payroll variables and documentation, and submit it to the HR coordinator
  • Follow that actions plans and annual appraisals are carried out
  • Follow up on visas and work permit procedures for internationals
  • Provide support to the base (on request)
  • Provide support to the coordination team during audits
  • Manage the cleaner

PROFILE REQUIRED

  • Education: Degree in Finance, Business administration or Human Resources
  • Professional experience: working experience of at least 2 years in relevant and similar jobs
  • Previous field experience with a humanitarian organization

  • Experience in implementing Logistics, Finance and HR procedures
  • Good understanding of humanitarian principles and ethics
  • Ability to analyze and handle complex and sensitive information with internal and external stakeholders
  • Soft/Personal:
  • Capable to prioritize and work cooperatively with colleagues at all levels
  • Ability to work in an international structure with colleagues from different cultures and backgrounds.
  • Good decision-making and problem-solving skills.
  • Sound teamwork experience
  • Languages: English and Swahili
  • Computer skills:
  • Highly computer literate with capability in email, MS Office, including Excel

CONDITIONS OF EMPLOYMENT

  • Type of contract: Fixed Term Contract governed by Kenyan Law. Until the organization is registered, the contract will be carried by an HR agency.
  • Duration (if fixed-term contract): until the end of the year, renewable
