POSITION SUMMARY:
We are seeking a Finance Lead to provide leadership, oversight and comprehensive financial and accounting support for Americares Philippines. The position will oversee financial and accounting activities, including the monthly and year-end close, monthly cash requests, cash advances to field staff, payment to vendors, payroll processing, inventory management and project reporting. This position will support grant compliance as well as support to Finance on quarterly grant reporting to donors. This position will work closely with Global Programs, Global Operations, and Emergency Programs and under the guidance and in close coordination with the HQ Finance Field Offices Manager.
DUTIES AND RESPONSIBILITIES:
Accounting
-Develops monthly accrual basis financial package, including statement of activities and balances sheet, and supporting reporting package information submitted to headquarters
-Initiates monthly funding wire request for field project implementation
-Reconciles and maintains accurate ledgers and subledgers using QuickBooks in accordance with local accounting principles and US GAAP.
-Prepares and submits monthly balance sheet reconciliation reports, as well as grant, and other financial reporting obligations
-Verifies accuracy of expenses, ensure completeness and full compliance with Americares policies and procedures
-Detail reviews of statement of activities, including detail review of project accounting codes and expense allocations
-Ability to prepare financial statements in compliance with Philippine Financial Reporting Standards for Small and Medium-sized Entities (PFRS for SMEs).
-Analyzes budget to actual variances
Accounts Payable
-Supervise coding and recording of accounts payable invoices for processing in a timely manner
-Post monthly accounts payable entries and complete corresponding paperwork
Travel Advances and Reimbursements
-Reviews employee cash advances, travel requests and expense reports for accuracy and compliance
-Follows procedures to ensure accurate and timely payment and reconciliation of cash and travel advances, reimbursements for staff and partner travel
-Reviews and monitors outstanding advances aging report
Inventory Management
-Oversee all aspects of inventory management process and inventory controls over receipts and depletions of inventory
-Ensure data integrity/uniformity throughout all entry and review processes
-Monitor inventory counts and perform inventory audits
-Develops and implements inventory control procedures
Compliance
-Ensures that local staff adheres to all Americares financial policies and procedures
-Supports internal and external audits
-Ensures compliance with local tax laws and regulations
Administration
-Ensures that documentation and reporting is organized and up to date in SharePoint and/or Teams
-Ensures that administrative documents are safeguarded, which includes contracts, insurance documents and any legal documents
-Safeguards Americares assets in country and maintains a fixes asset listing
-Responsible for vetting vendors, regularly updating vendor lists, and following Americares procurement policies
-Oversees Vendor Management
-Ensure proper withholding compliance with local regulations
-Attends weekly and monthly program calls to discuss ongoing procurements, activities, policies, and other updates.
-Communicates regularly with HQ staff to ensure that all procurements, cash advances, and other disbursements align with existing policies and are within budget.Regular communication with HQ staff, includes but is not limited to the Emergency and Global Programs, Global Operations, and Finance Field Operations team.
-Provides suggestions on how to improve the effectiveness and efficiency for financial reporting processes
-Supervise finance staff
QUALIFICATIONS:
-Bachelor’s or advanced degree in accounting
-Experience with QuickBooks or any large ERP accounting system
-At least 5 years’ experience working in a multinational non-for-profit entity or corporation; experience with accounting for inventory required
-Knowledge of Philippine Financial Reporting Standards for Small and Medium-sized Entities (PFRS for SMEs).as well as understanding of accounting and finance functions, understanding of US GAAP a plus.
-Experience with preparing and proposing journal entries on their own based on analysis performed
-Experience working with intercompany and multi-currency transactions, is a plus
-A positive, detail-oriented attitude and ability to analyze data and provide detail explanations
-Proven ability to communicate effectively with all levels of staff
-Self-starter with the ability to multi-task effectively
-Ability to lead and train junior staff
-Expert skills in Excel, including processing and analyzing data from different sources using advanced Excel functionality such as Advanced Formulas, Macros and Pivot Tables.
-Familiarity with Microsoft 365 Suite, including Outlook, SharePoint, and Teams
-Genuine interest in helping to improve the lives and health of people affected by poverty and disaster so that they can reach their full potential
-Excellent written and oral communications skills in English; multi-lingual with proficiency in Filipino or Tagalog.
-Strong problem-solving skills – demonstrated ability to apply creative solutions, work effectively in highly fluid and stressful circumstances
