This is an exciting opportunity to join a growing team that will amplify the presence of mothers2mothers (m2m) in North America. As an integral member of a lively and congenial team, the Finance & Operations Officer will support m2mUS in management of the US financial and statutory records as well as facilitating operations functions of m2mUS. The Finance & Operations Officer further provides strategic input and support to the Finance Manager m2mSA to ensure that controls are properly implemented and managed. This role will report to the North America Director, collaborating closely with the US-based team in NYC, and the Co-Founder & Chief Connector and Communications team in Los Angeles. This role will be cross functional line managed by the Head of Finance & operations for Europe, based in London, forming a close working relationship with the m2m Europe and m2m South Africa office.
Key Performance Areas:
Finance
- Consistently monitor and assess financial movements of m2mUS; assume responsibility for the month end reconciliations of all major charity tracking accounts including Salesforce
- Analysis of financial data and present financial reports in an accurate and timely manner; clearly communicate monthly, quarterly, and annual financial statements including budgets, forecasts and analysis of differences with actuals in collaboration with Head Office Finance team
- Maintenance of financial filing systems
- Determine when suppliers should be paid and organize appropriate authorisations and payments thereof
- Maintain internal control and safeguards for receipt of revenue and costs
- Assist the North America Director and Head of Finance and Operations, Europe in the annual budgeting and planning process; administer and review all financial plans and compare to actual results with a view to identify, explain, and correct variances as appropriate
- Regular communication with the Head of Finance and Operations, Europe with respect to US specific finance issues and wider m2m finance discussions
- Coordinate with Development Coordinator to support overall financial accountability by assisting with reconciliation, and ensuring adherence to key financial controls and organizational policies
Operations
- Administrative support to the US team on HR needs, including recruitment, onboarding, time sheets, benefits and other routine HR administrative tasks
- Liaise with the HR Business Partner at Head Office as needed.
- Provide general office support
- Coordinate internal and external meeting room bookings
- Support the US Team with planning wider team activities and travel
- Organize appropriate insurances and state registrations for the US organisation
- Carry out any other reasonable tasks assigned by the North America Director
Qualifications and Experience:
- Bachelor’s Degree
- 3+ year’s relevant work experience
- Mac and PC proficient
- Excellent knowledge of Microsoft Office Programs— IT literate including the use of Microsoft Office, Outlook, Skype, Sharepoint, Serenic (Navigator) and donor databases (knowledge of Salesforce a plus)
Competencies:
• Essential Competencies
- Strong bookkeeping skills and management of reporting, budget development and analysis
- Knowledge of non-profit accounting including knowledge of the accounting and best practice in respect of restricted funds, endowment funds etc.
- Experience of the application of good financial controls and the ability to review current systems and suggest further improvements if necessary
- Working knowledge of the US regulatory bodies and good governance standards
- Monitoring major grant receipts in the year to ensure all terms and conditions are met
- Excellent written, verbal and interpersonal skills
