Purpose of the position

The financial assistant position will have the responsibility of supporting efficient, effective and effective financial monitoring, in accordance with internal and donor policies and procedures, facilitating processes and helping to contribute to the organization’s objectives.

This position reports to the Administrative and Financial Coordination

Place of work: Bogotá, DC

Type and validity of the contract: Fixed-term employment contract for 4 months (replacement of maternity leave), including a trial period corresponding to one fifth of the initial term of this contract.

Monthly value of the contract to be signed: $2,800,000

Functions and responsibilities

  • Review of financial reports of implementing partners and preparation of consolidated financial reports in the formats established by the organization, ensuring quality and timely presentation.
  • Verify the accuracy of implementing partners’ accounting books and supporting documents each month in accordance with accepted accounting principles and donor requirements.
  • Prepare observations and carry out effective monitoring ensuring compliance with all requirements.
  • Review invoices, travel expenses, and petty cash funds for compliance with accounting policies and procedures and tax laws;
  • Follow up on payments, collections and records of accounts receivable, payable and advances to be legalized and review that at the end of each month these are properly reconciled;
  • Support in the monitoring and follow-up of reports and report findings to your immediate supervisor and the project coordinator,
  • Coordinate together with the administrative assistant that all financial information is stored and archived (physical and digital) in an orderly and consecutive manner, guaranteeing that the project supports are kept in original format, in good condition and that they correspond to the reported operations. in the reports sent.
  • Carry out project reconciliation ensuring that both the accounting code and the cost centers used are duly registered.
  • Review the contracting and purchasing processes of goods and services charged to the project
  • Review travel legalizations uploaded to the project
  • Comply with accounting closing schedule times.
  • Prepare accounting reports as required by your supervisor; including bank reconciliations.
  • Support in the accounting closing of the program
  • Attend monitoring committees with partners
  • Provide logistical and in-person support in other general program and CACH activities when necessary,
  • Support in the search for documents required by audits or other control entities.
  • Support with the entry of requested information, in the program designated by the organization.

  • Other responsibilities assigned based on their position, by the Finance and Administration Coordination or by the Director of the CACH Venezuela Crisis Response Program.

General requirements and training

  1. Vocational training

Technologist, recently graduated professional or student in accounting, financial administration, finance or other economic areas (who has completed a minimum of 8 semesters).

  1. Professional experience:
  • One year of verifiable experience as a financial or accounting assistant for high-level social projects with non-profit entities (ESALES) and/or with international organizations.
  • Knowledge in the application of accounting, tax and labor regulations and legislation at a national and international level;
  • Experience in relation to administration and management of international cooperation and humanitarian aid funds (preferably DG ECHO) and specific knowledge of its procedures, rules and regulations. (Desirable)
  • Experience in accounting procedures and management of physical and digital accounting filing systems.
  • Experience in supporting and advising local organizations and ability to guide them with a perspective of learning and achieving results in the implementation of the financial and administrative aspects of programs and projects. (Desirable)
