SOLIDARITES INTERNATIONAL (SI) is an international humanitarian aid association that, for nearly 40 years, has been providing assistance to populations affected by armed conflicts and natural disasters by meeting their vital needs: drinking, eating, and shelter. Particularly committed to combating diseases linked to unsafe water, the leading cause of death in the world, SI implements through its interventions expertise in the field of access to drinking water, sanitation and the promotion of hygiene, but also in the essential field of food security and livelihoods. Present in around twenty countries, SI teams – 2,000 people in total, made up of expatriates, national staff, permanent staff at headquarters, a few volunteers, etc. – intervene with professionalism and commitment while respecting cultures.
THE MISSION
The Support Assistant will report to the Management Controller and the Desk Logistician, with a time distribution of approximately 60% for financial management/accounting tasks and 40% for those related to logistics.
DESCRIPTION OF THE OFFER
The Support Assistant will report to the Management Controller and the Desk Logistician, with a time distribution of approximately 60% for financial management/accounting tasks and 40% for those related to logistics:
Under the supervision of the management controller and the Desk logistician, the assistant:
Accounting
Assists the manager in his accounting tasks inherent to the missions
Checks the analytical and accounting allocations of the accounts of the different missions
Checks the expenditure allocation tables between the different donors
Supports the annual accounting closure and/or the half-yearly analytical closure of the missions
Uses SAGA accounting software (Mission)
Management
Supports the field: manages the needs of field administrators on a daily basis
Participates in the verification of budgetary monitoring of missions
Participates in the validation of budgets for operational proposals submitted to donors
Participates in the validation of interim and final financial reports of programs (financial document and budget narrative section) to be submitted to donors
Supports the preparation of financial audits
Participates in the validation of cash flow forecasts
Participates in weekly and monthly meetings (Desk, Accounting, Logistics, Headquarters, etc.)
Logistics
Examines documents for purchasing files made in the field or at headquarters (purchase order, quotes, quote analysis, contract, etc.) and their adequacy with Solidarités International procedures.
Participates in the preparation of logistics documents for final reports for donors (verification of the presence of equipment in the inventory, preparation of equipment annexes, verification of compliance with donor procedures, etc.).
Archives processed files in computer version.
Participates in the processing of the monthly logistics pack (inventory, fuel monitoring, BCI monitoring, etc.)
Checks and updates logistics monitoring documents (telephone invoices, mission contacts, etc.).
Contributions of the internship:
Discover how the headquarters of an NGO works and the relationships between the headquarters and the field.
Discover the different jobs of Solidarités International in the field.
Have an initial approach to the functioning of a mission and the specific constraints.
Know the administrative, financial and logistical functioning of a Solidarités International mission, with a view to leaving as an Administrator or logistician in the field.
Know the requirements of donors.
Improve Excel and mastery of Saga software.
Be in direct contact with the field via expatriates.
YOUR PROFILE
Level Bac + 4/5 Master, Business Schools and/or specific training supporting NGOs such as Bioforce with a component in management and/or logistics.
Successful and significant professional experience in the field of management (accounting, finance) and/or logistics (purchasing, transport, technical).
Mastery of the most common office software, a good knowledge of Excel is important
Good command of English
Autonomy and rigor
Ability to work in a team
IF YOU WILL OFFER THE FOLLOWING CONDITIONS
Internship based at the SOLIDARITES INTERNATIONAL headquarters in Clichy (92), Mairie de Clichy metro station
Intern with mandatory internship agreement.
Legal compensation of 15% of the current social security hourly ceiling.
The compensation is calculated in proportion to the actual hours of presence over the month. (On average 1 month = 154 hours, or 22 days of 7 hours/day)
Public transport covered 50% by SOLIDARITES INTERNATIONAL
Meal vouchers at €8.90/actual day of internship, with SOLIDARITESINTERNATIONAL’s participation at 60%
