The Position:

The Freight Management Associate position is located in the Logistics Management Services (LMS) Team within Pillar 2 – Supply Operations in the UNFPA Supply Chain Management Unit (SCMU). The position reports directly to the Senior Freight Management Associate. The Freight Management Associate will work closely with other SCMU colleagues, the new integrated HQ division (name To Be Decided), the Humanitarian Response Division, other HQ Business Units, the Regional Offices and the Country Offices and with a number of external partners.

The position provides a supporting role to ensure an efficient logistics service for UNFPA commodities procured globally and at the local level

Job Purpose:

In general, the Freight Management Associatewill provide foundational support and ensuring smooth operational execution of practical, day-to-day aspects of the freight services function.

You will be responsible to support the Senior Freight Management Associate with:

A. Foundational support and ensuring smooth day-to-day freight services function to achieve:

  • Keep track of all freight-related activities for internationally procured commodities, including LTAs, suppliers, and common interagency freight solutions.
  • Offer expertise and guidance to both internal and external stakeholders on logistics and shipping-related matters.
  • Monitor shipments, update UNFPA Country Offices and external partners on status, and proactively address any potential delays or disruptions.
  • Work with other freight management team members to enhance process efficiency, optimize resource use, and lower freight costs.
  • Participate in relevant coordinating forums (e.g., Logistics Cluster) to strengthen UNFPA’s logistics function.
  • Make logistics decisions considering urgency, product-specific requirements, specific challenges of origin/destination, procedural requirements, and best industry practices in the humanitarian context.
  • Coordinate with relevant partners and networks for optimal delivery of humanitarian supplies.
  • Ensure smooth collaboration between customs clearance agents and international freight service providers for prompt customs clearance and delivery in humanitarian responses.
  • Engage in discussions with Freight Forwarders, Logistics Cluster, and other UN agencies in the humanitarian logistics field.
  • Support and implement activities related to UNFPA’s Governance, Risk, Compliance and Reporting function.

B. Capacity Strengthening

  • Support the implementation of UNFPA’s capacity-strengthening initiatives.
  • Train supply chain professionals whenever possible and support their development through sharing knowledge and experience.

C. Thought Leadership, Knowledge Sharing and Advisory

  • Appreciate UNFPA’s supply chain thought leadership through awareness and incorporating such initiatives into the overall approach to day-to-day activities.
  • Actively contribute to an environment of knowledge retention and sharing by following best practices for supply chain implementation.
  • Support improved supply chain execution by incorporating best practices and continuous improvement into day-to-day activities.

D. Partnerships and Resource Mobilization

  • Support UNFPA’s value proposition and relationships with donors and partners.
  • Assist with the preparation of SCMU’s resource mobilization proposals in particular with data and analysis.

E. Collaboration and Representation

  • Maintain effective collaboration with relevant stakeholders within UNFPA to ensure coordinated and effective tailored solutions for each area of intervention.
  • Maintain relationships with supply chain counterparts with the purpose of increasing the efficiency of UNFPA’s supply chain function.
  • Attend and participate as required in SCMU and UNFPA in meetings related to supply chain management functions.

F. Carry out any other duties as may be required by the Chief, SCMU.

Qualifications and Experience:

Education:

  • Completion of Secondary education is required.
  • A University degree at Bachelor Level in Supply Chain Management, Business Administration, Procurement, Logistics, Transport Planning, International Commerce, or equivalent field is an asset.
  • Qualification at Chartered Institute of Logistics and Transport (CILT-UK) Level 3 Certificate in Logistics and Transport is an additional advantage.

Knowledge and Experience:

  • Minimum 6 years of relevant progressively responsible experience in public or private sector managing international freight operations including air, sea, and land transportation modalities where:
    • At least two (2) years’ experience in managing international health supply chain operation with components of temperature sensitive logistics.
    • Candidates with hands-on experience working in development and/or complex humanitarian operating environments in low-resource countries are considered a strong asset.
  • Knowledge of global supply chain security, risk management, and compliance regulations is required.
  • Strong interpersonal skills and capability to develop and maintain broad diversified partnerships is required.
  • Basic proficiency in project management skills is an asset.
  • Experience using Enterprise Resource Planning (ERP) is required.
  • Professional written and spoken presentation skills, including for the development of reports, presentations, and the ability to synthesize complex supply chain documents for both technical and non-technical audiences is an asset.
  • Experience in supporting the implementation of logistics business transformation projects, especially those involving digitalisation and technological innovation is an asset.

Languages:

Fluency in English is required. Working knowledge of another official UN language is an asset.
