Grants Coordinator, RAI At International Rescue Committee

Job Overview/Summary: The RAI Grants Coordinator sits within IRC’s Resettlement, Asylum, and Integration (RAI) Budget Office which supports programming and field offices that serve refugees, asylum seekers and other types of newcomers. The RAI/US currently has a network of 27 Resettlement offices and 3 RAI Office for Refugees.

The IRC uses a proprietary data management system OTIS (Opportunity Tracking Information System) to review proposals to donors and manage grant awards received. The overall objective of this role is to process and maintain proposal, award, and budget documents in the system, with a primary focus on financial coding. The Grants Coordinator serves as the liaison between RAM, RAI-US offices, RAI HQ Finance and other Finance teams for all issues related to D1 grant code readiness and opportunity management. This position reports to the RAI Deputy Director of Finance.

Responsibilities include, but are not limited to:

  • Verify new award/contract documents are in our OTIS system including Notice of Funding Opportunity (NOFO), the fully executed agreement and final detailed budget.
  • Maintain tracking system of opportunity status and circulate among constituents.
  • Initiate the grant code (D1) activation process in OTIS with assistance from the awards team
  • With RAI Deputy Director of Finance (DDF), Regional Budget Manager (RBM)’s and HQ budget leads, ensure grant budgets are ready to be uploaded to our ERP system (Integra)
  • Assist RAI DDF, RAM and HQ A/R with tracking and coding of donor payments.
  • Upload donor financial reports and payments to OTIS.
  • Close out awards in OTIS as well as Integra.
  • Other duties as assigned.

Job Requirements:

This position requires a critical eye, solid analytical skills, advanced skills in Excel and excellent attention to detail. Candidates should have a minimum of 2 years’ administrative experience.

  • Bachelor’s degree required.

Demonstrated Skills and Competencies:

  • Advanced skills in MS Excel, data visualization and use of databases.
  • Must be able to communicate clearly verbally and in writing in a motivational manner.

Preferred experience & skills:

  • Paralegal or Contract background preferred.
  • Ability to work both independently and in a dynamic, cross-functional global team structure.
  • Highly proficient in Microsoft Office suite.
  • Demonstrated ability to collaborate effectively with stakeholders at all levels.
  • Ability to manage and work through change in a proactive and positive manner.

Working Environment: This role may require working remotely full or part time. Part-time remote employees may be required to share workspace. Applicants must have a home or alternate workspace so they can effectively complete their work during regularly scheduled work hours.

Compensation: Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirement.
