The position holder will be one of the core member of the production/implementation department of the organization which aims to improve grant management, execution and project cycle manage, meet the needs and expectations of our stakeholders, and contribute to achieving sustainable growth of the mission. The Grant Manager will contribute to the following processes defined within the production/implementation department:

  • Proposal and reporting process
  • Planning process
  • Implementation process
  • Project and grant closure process
  • Project cycle management process, with emphasis on improving internal and donor reporting compliance

Key activities in your role will include

Objective 1: Grant management for the ongoing projects

  • Update reporting and proposal development schedules and ensure key staff in the mission and HQ are aware of it and respect the deadlines
  • Follow up on the timely implementation of all planning tools and mechanisms (technical, financial and logistical), as well as MEAL for each contract (with attention to the harmonization of indicators and means of verification), for timely and regular internal and external accountability.
  • Ensure comprehensive donor summary guideline are created, regularly updated and available for use by the mission team. Develop briefing documents and support the development of relevant external communication tools for donor visits/meetings.
  • In coordination with the Admin-Fin Coordinator, Logistics Coordinator and Compliance/supervision team, ensure audits reports, required supporting documents are in compliance with donor contractual requirements.
  • Act as focal point for external communications with donors/stakeholders for all matters related to grant management and reporting, including communication and visibility products on implementation progress in coordination DCD or CD.
  • Support in the identification, implementation, and follow-up of capacity building needs of production/implementation and technical teams, with emphasis on strengthening Heads of Project’s capacity in grant management, donor compliance.

Objective 2: Identification, coordination, preparation, drafting and submission of quality and timely proposals/concept notes, following Action Against Hunger validation processes and taking into account donor guidelines.

  • In coordination with the Country Director, liaise with HQ staff (across the Action Against Hunger International network, including the Donor Relations Unit and Madrid HQ) on potential funding opportunities, as requested, including donor mapping and opportunities.
  • Under the direction of the Deputy Country Director, and in consultation with the technical, logistic and admin-fin coordinators and Country Director, design, coordinate, gather inputs and relevant information to draft full proposals (including logical framework, technical description, budget and other necessary annexes) or Concept Notes to be submitted to donors.
  • Ensure and monitor the development of quality projects/program proposals in response to calls for proposals in accordance with donors’ priorities and interests and in compliance with their frameworks (donors’ own regulations, guidelines and languages), including the integration of cross-cutting approaches (gender, climate crisis/environment and protection) in accordance with Action Against Hunger policies.
  • Support Senior management Team members in discussions /negotiations with donors/stakeholders and timely submission of feedback/information

Objective 3: Quality control of reporting and timely accountability internally and externally to stakeholders, donors and beneficiary populations

  • Coordinate donor reporting processes: in collaboration with relevant departments, staff and field offices, gather information/inputs and ensure timely submission of high quality programmatic/technical and financial reporting
  • Assist the DCD and implementation team in following-up with partners/stakeholders to get quality inputs for donor reports in line with donor guidelines and agreements with partners/stakeholders.
  • Ensure that quality and timely reporting requirements are maintained in the mission and that processes are streamlined and efficient.
  • Review and capitalize recommendations and lessons learned to improve accountability to stakeholders, donors and beneficiary populations. This includes the production of inputs for communication and accountability beyond the mandatory reporting to donors.
  • Take lead in mapping and identifying possible strategic partners in coordination with Manila and field offices and conduct due diligence.
  • Develop and implement capacity building plan in coordination with respective departments

Objective 4: Emergency Response support and deployment (in-country)

  • Monitor humanitarian context and engage in emergency assessment and lead preparing and dissemination of situation reports in coordination with CD
  • Support field offices as requested by CD during emergency response. This will require travel and deployment to field offices/disasters areas and requires flexibility.

Do you meet the profile required criteria?

  • Bachelor’s and/or Master’s degree in Humanitarian Action, International development or any related field (social sciences, law, economics etc.)
  • Desirable: Specialised courses/training in project management (emergency and development), project financial management, monitoring and evaluation, cross-cutting issues (gender, HR, protection).
  • Specified technical expertise:
    • Project cycle management, including budget management and financial planning
    • Proposal writing (in English), with good command of the logical framework approach and theory of change (incl. definition of indicators), knowledge of donor regulations, coordination of processes
    • Drafting of donor reports in English as well as other communication documents for accountability purposes.
    • Capacity building and/or strengthening processes.
    • Knowledge of gender mainstreaming, human rights, protection in proposals and projects.
    • Desirable: expertise in AAH’s fields of action: nutrition and health, food security, DRR/CCA and livelihoods (incl. CBI).
  • Experience:
    • At least 3 years’ experience in project management in similar positions or with emphasis on planning, implementation monitoring and reporting processes.
    • Demonstrable project formulation and financial management experience
    • Desirable working experience in projects financed EU/ECHO, USAID/BHA, UN agencies, GAC, ADB
  • Advanced level written and spoken English
  • IT knowledge: Advanced command of computer tools and Microsoft Office package Desirable Knowledge in the use of tools that ensure innovation and quality in work management (Kobo, PowerBi).
  • Experience in promoting gender equality and gender mainstreaming in humanitarian projects as well as personal commitment to gender equality and sexual diversity
