Grants Specialist At

The Grants Specialist contributes to the calling of Medical Teams International by supporting the acquisition of institutional grants and creating standard processes, guidance, tools, and resources to support institutional funding acquisition across the whole of the Medical Teams program portfolio. Areas of involvement include development of common tools and processes for proposal development, grant agreement execution, reporting, grant compliance, and grant and donor knowledge management. The Grants Specialist will function as a global support and subject matter expert to country-level grant management focal points and further the growth of Medical Teams in accomplishing its goals to triple its capacity to respond to sudden onset disasters and triple the number of displaced people served.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Process and Standards Development:

  • Design and develop standardized processes for all aspects of institutional grant management from opportunity vetting, proposal/concept development, partnership and subaward documentation, grant implementation, to award closeout.
  • Create and adapt common tools and templates to increase efficiency and standardization, this includes but is not limited to: funding opportunity vetting, logical framework development, documentation of beneficiary planning figures, concept note/proposal development, partnership and sub award development, grant execution, document retention and knowledge management, grant compliance, and award closeout.
  • Design and facilitate training and collaboration of grants focal points in country programs on minimum standards, tools, resources, and systems to ensure effective roll-out and utilization.
  • Advise country program grant focal points on grant acquisition processes, documentation, proposal/report development, grant compliance, as needed.
  • Collaborate with Field Operations leadership, Global Services, and Compliance, on the design and roll-out of internal controls, policies and procedures to ensure compliance with all applicable laws, regulations, and internal policies.

Funding Acquisition and Grant Compliance:

  • Monitor funding opportunities from relevant humanitarian donors in support of funding plans for country programs and humanitarian responses.
  • Advise programs (Country Leadership, HQ Program Managers & Directors) on funding strategies based on industry and donor trends as requested.
  • Supports country programs or humanitarian response operations for concept and proposal development, including deploying with the Humanitarian Response team.
  • Manage the proposal process for large multi-country or consortium proposals, as requested.
  • Develop and conduct training for new staff on grant acquisition and management protocols.
  • Collaborate with response team staff and institutional donors in early stages of a response to identify donor priorities, as requested.
  • Collaborate with Grants Finance Advisor(s), Country Directors, Program Manager/Officers, to monitor grant implementation for potential donor compliance issues, and make recommendations or remediation or adjustments.

Grants Knowledge Management and Analysis:

  • Design new and/or improve existing systems to improve collaboration, knowledge management, monitoring and reporting of grant funding and documentation to ensure institutional knowledge and consistent data management.
  • Maintain accurate grant and donor data in collaboration with other teams and focal points, to ensure relevant information for monitoring and reporting is reliable, including but not limited to storage of contracts, correspondence, amendments, donor contacts.
  • Analyze grant and donor data to support the Senior Director of Global Programs and Director of Humanitarian Response to conduct regular income analysis, grant forecasting, and funding and donor strategy development.
  • Engage in professional development and external networking with donors, and other humanitarian NGOs and learning opportunities and disseminate learnings regularly to improve organizational knowledge and practice in the subject matter area.
  • Design and conduct lessons learned activities and quality improvement initiatives to regularly innovate and improve processes, tools, guidance and systems.

Other Duties:

  • Utilize volunteers when appropriate.
  • Additional duties as assigned.
  • Support safeguarding of program participants and employees through promoting an environment of awareness and upholding the code of conduct provisions of Medical Teams Protection from Sexual Exploitation & Abuse, Child & Vulnerable Adult protection, and harassment-free workplace policies.

EDUCATION, LICENSES, & CERTIFICATIONS

Required:

  • Bachelors degree in International Development, Humanitarian Assistance, or related field.

Preferred:

  • Masters degree in relevant field.
  • USAID Rules & Regulations training certificate.

EXPERIENCE

  • Minimum 3 years work experience developing successful proposals and/or managing grants for relevant institutional funders (USAID, BHA, PRM, ECHO, UN agencies, Country Based Pooled Funds, etc.) within a humanitarian NGO.
  • Knowledge of humanitarian health programming, indicators, and public health, preferred.
  • Understanding of UN GIK humanitarian commodity requests and proposals.
  • Experience editing grants for clarity and professionalism.
  • Experience living and communicating cross-culturally in a relief setting.

KNOWLEDGE, SKILLS & ABILITIES

Knowledge:

  • Knowledge of humanitarian standards, donors, systems and principles, e.g., Sphere, CHS, Red Cross Code of Conduct etc.
  • Knowledge of USAID Rules and Regulation requirements, including Grant and Cooperative Agreements, Proposal Development, Subaward Management, and Cost Proposal principles.
  • Prior use of grants.gov and SAMS systems for USG funding, and UN Partner Portal and GMS system for submission of UN and pooled fund projects.
  • A basic understanding of health systems.

Skills:

  • Moderately skilled with office software: Microsoft Teams, Word, Excel, and PowerPoint.
  • Moderately skilled with communication software: Teams, Outlook, Whatsapp, Internet, CRM (or other database programs).
  • Excellent written and spoken English fluency skills.
  • Ability to speak and write in a second language is preferred, such as Spanish, French, Swahili, or Arabic.

Abilities:

  • Ability to work flexible schedule and weekends as needed.
  • Ability and willingness to travel to country programs on short notice up to 12 weeks a year.
  • Ability and willingness to travel to global meetings when needed.
  • Ability to work collaboratively with others in a mixed cultural work environment.
  • Ability to remain organized in complex proposal development.
  • Ability to work under pressure and to deadlines.
  • Ability to troubleshoot web interface issues with donor portals.
  • Ability to communicate proposal plans and deadlines across a global team.
