DESCRIPTION OF THE ASSOCIATION

La Chaîne de l’Espoir is an international NGO founded in 1994. Its mission is to strengthen health systems to give everyone, and in particular children, the same chances of survival and development.

We operate in 28 countries with a global approach, focused on the child but also on mothers and disadvantaged communities:

  • Prevention and screening from an early age, particularly within the framework of school health programs.
  • Care and surgery, to meet the most urgent needs of children and their mothers.
  • Training and skills transfer to local teams thanks to our international network of experts in all areas of surgery.
  • Construction and equipment of hospital structures adapted to local needs.

POSITION AND MISSION

Integrated into the Purchasing and Logistics department and under the responsibility of the association’s Travel Manager, La Chaîne de l’Espoir is recruiting a Travel Assistant (M/F) to cope with increased activity.

MAIN ACTIVITIES

The travel assistant will be responsible for:

Travel:

  • Ensures the processing of travel requests for La Chaîne de l’Espoir staff while respecting deadlines and constantly seeking the best quality/price ratio (plane and train tickets).
  • Implements the association’s Travel Policy: compliance with budgetary limits, validation processes and operating rules, as well as associated documents.
  • Prepares the traveler’s mission order or invitation letter and sends them to the relevant coordinator.
  • Completes travelers’ per diem forms in accordance with the flight plan and the reference table, and transmits them to the accounting department.
  • Ensures the archiving of tickets, reservations and related documents.

Visas:

  • Ensures, in conjunction with the competent authorities and the association’s courier, the management of visa requests for all La Chaîne de l’Espoir missions.
  • Populates the visa database by country (details of formalities, required documents, embassy contact, etc.).

Hotels:

  • In collaboration with the program coordinator of the country concerned, ensures the processing of hotel reservation requests from La Chaîne de l’Espoir missionaries.

Monitoring and management:

  • Ensures the permanent updating of the table showing all current or planned trips of La Chaine de l’Espoir.
  • Maintains the various service activity monitoring tables up to date.

“Child care in France and internationally” program:

  • Ensures the reservation of the child’s plane ticket and, where applicable, obtaining their visa, insurance and documents required depending on the country of origin & destination.
  • Transmits conveyor contact details to our partners.

TRAINING AND EXPERIENCE

  • Training in Travel Management / Tourism
  • A first experience in an equivalent position in a travel agency or in the associative sector would be a plus

REQUIRED SKILLS AND QUALITIES

  • Mastery of Pack Office and collaborative tools
  • Rigor and dynamism
  • Resistance to stress, ability to manage emergencies and several files simultaneously.
  • Functional English
  • Priority management
  • Adherence to the humanitarian principles and ethical code of La Chaîne de l’Espoir

TERMS

  • 12-month fixed-term contract
  • Start date: ASAP
  • Mutual insurance covered at 80%
  • Transport subscription (or Sustainable Mobility package) covered at 50%
  • Meal ticket with a face value of €10.83 covered at 60%
  • Teleworking charter: 03 days/week
  • 23 days of annual RTT
  • Proposed Salary: 26k – 30k annually depending on profile and experience
