Organizational Context
The International Federation of Red Cross and Red Crescent Societies (IFRC) is the world’s largest humanitarian organization, with a network of 192-member National Societies. The overall aim of the IFRC is “to inspire, encourage, facilitate, and promote at all times all forms of humanitarian activities by National Societies with a view to preventing and alleviating human suffering and thereby contributing to the maintenance and promotion of human dignity and peace in the world.” The IFRC works to meet the needs and improve the lives of vulnerable people before, during and after disasters, health emergencies and other crises.
The IFRC is part of the International Red Cross and Red Crescent Movement (Movement), together with its member National Societies and the International Committee of the Red Cross (ICRC). The work of the IFRC is guided by the following fundamental principles: humanity, impartiality, neutrality, independence, voluntary service, unity, and universality.
The IFRC is led by its Secretary General, and has its Headquarters in Geneva, Switzerland. The Headquarters are organized into three main Divisions: (i) National Society Development and Operations Coordination; (ii) Global Relations, Humanitarian Diplomacy and Digitalization; and (iii) Management Policy, Strategy and Corporate Services.
The IFRC has five regional offices in Africa, Asia Pacific, Middle East and North Africa, Europe, and the Americas. The IFRC also has country cluster delegation and country delegations throughout the world. Together, the Geneva Headquarters and the field structure (regional, cluster and country) comprise the IFRC Secretariat. IFRC office which based in Jakarta is one of The Secretariat of Country Cluster Delegation (CCD) who support NSs in Indonesia and Timor Leste.
The International Federation of Red Cross and Red Crescent Societies (IFRC) CCD Indonesia and Timor Leste has managed programme targeting communities on public health and WASH programs by utilising an all of society all hazard approach. This programme builds on existing tools and actions being taken by Red Cross members but also external partners. IFRC has supported Palang Merah Indonesia (PMI) as implementing partner to deliver its health program which are including The CP3 – Community Epidemic and Pandemic Preparedness Program; Polio Preparedness Program and WASH activities which targeted vulnerable populations in Indonesia.

Job Purpose
The Health Program Assistant will be assisting the daily delivery of Health & WASH program implementation.
He/She will work under direct supervision and technical management from Health Sr. Officer and technical support from Program Finance and Admin Senior Officer. He/she will also work closely with admin and finance team under Health and WASH program, National Societies, and representatives from Government of Indonesia.
Job Duties and Responsibilities
The Incumbent will work closely with the IFRC Health and WASH program team to execute the following tasks:
- Supporting health and WASH program team to prepare all administrative documents, including, but not limited to, ToR for planned activities, travel documents and documentations to support program implementation as per federation rules and guidelines
- Supporting the liaison process of meetings, workshops, training sessions, events and other organized activities conducted under the health and WASH program. He/she will coordinate with Admin & Finance Officer to ensure the preparation of all logistic arrangement and technical preparation under IFRC, NSs, external partners and government agencies are in place
- Maintain and manage the schedules of program events, including coordination with National Societies and related GoI Ministries to schedule meetings as required by the program
- Take meeting minutes under Health and WASH program and complete meeting reports both narrative and financial settlement
- Supporting the consultancy contract & management process under Health and WASH program. The tasks included but not limited to conducting proper coordination and communication with consultants regarding the administrative & payments process, compiling all supporting documents for contracts, invoices, goods, receiving the note, completing the service delivery note, and other administration files, in close coordination with Admin & Finance Officer
- Support the process of document translation, proofreading process, & designing process
- Perform additional duties as assigned
Requirements
Education
- University degree in relevant field (public health, administration of program management)
Experience
- 2 – 3 years of experience working in the area of expertise
- Experience in public health administration or program managerial fields is preferred
- Experience in organizing events and having good communication skills
- Experience in working with Government Ministries and high-level stakeholders is preferred
- Strong knowledge working with Non-Profit Organisations and donors
- Strong experiences in work field with a multitasking environment
Knowledge, Skills and Languages
- Knowledge in business writing skills both in Indonesia and English language
- Good communication and interpersonal skills for effective working relation
- Ability to prioritize, work well under pressure and meet deadlines. Able to achieve results through collaboration/teamwork
- Ability to adapt and adjust to change, take extra miles to accomplish work task
- Ability to work well in a multicultural team and a changing environment
- Computer skills: Windows, Word Processing, PowerPoint, Excel & Ability to use video conferencing application i.e. Microsoft Teams, Zoom, etc.
- Able to travel to project area if required
- Fluently spoken and written English
