Job Purpose:
The aim of the HR Assistant is to help in archiving and arranging all Documents, files and soft and hard data related to HR system and other HR processes.
Key Responsibilities:
Based in Turkey. Devoted 100% of his/ her time to be responsible for all the following:
1-Assists in lunching the recruitment process regarding the project as the following: 1.1-Preparing any related document such as: Job descriptions and job announcement. 1.2-Making sure that all vacancies announcements are in place as planned date and time. 1.3-Aarraigning the interviews in coordination with the recruiter, line manager and/or technical specialist. 1.4-Identifiyng the best candidates and sending reference check and offer letter. 1.5-Sending regret letters for the other candidates they were not selected.
2-Preparing the Contracts and collecting all related documents such as: ID, ATC, Copy of Passport, CV, Educational Qualification, Experience certificates, trainings certificates, Address…etc.
3-Collecting any other documents according to HR policies and procedures such as: JD, Relative declaration, the approved signature, Reference check, Acknowledgment of reading and understanding employee handbook, Acknowledgment of reading and understanding code of conduct …etc.
4-Keeping all documents that could Requires from donors and partners ready, available, and up to date.
5-Organizing the Staff database on ERP System /employee Tracker and updating it periodically and whenever it needed.
6-Organizing and Archiving the Staff files both digital and hard copy and updating it daily and whenever it needed.
7-Tracks staff attendance, absence, timesheets, job mission and any other HR related information and document it accordingly.
8-Follow up and organize any documents related training according to HR policies and procedures.
9-Prepares and organize the administrative decisions and taking care with admin issues such as purchase request.
10-Reports to the HR Senior Officer the work progress.
Qualifications and Work Experience:
- Bachelor’s degree in business administration or any other related field.
- One year experience in HR field (more than one year is an advantage).
- Basic accounting skills preferred
- To be able to communicate effectively across teams and in a multi-cultural environment.
- Strong ability to organize work, meet deadlines, and maintain attention to details.
- Strong sense of personal integrity.
Flexible and able to handle pressure well.
Required competencies (skills / knowledge / capabilities):
- Intermediate skills in the English language.
- Intermediate in MS Office applications (Word, Excel, Outlook).
- Strong keyboarding skills and internet usage skills; database familiarity is a plus
Training required in applicants:
Any training in HR field is an advantage.
