HR Assistant – Manila (Filipino Nationals Only) at Action Against Hunger USA

Key activities in your role will include

Objective 1: HR Management and Administration Support

  • Post job vacancies in specialized web pages
  • Coordinate tests and interviews with the applicants and hiring managers
  • Do the necessary background check, recruitment documentation and offers
  • Arrange logistical requirements and onboarding schedule for newly hired staff
  • Ensure 100% completion of all department heads’ briefings and orientations
  • Monitor the completion of staff in all mandatory courses in the Virtual Campus
  • Follow up contract status, leaves, staff exit and separation
  • Undertake additional HR related tasks such as flight and hotel bookings
  • Ensure that payments related to flight and hotel bookings are settled on a timely manner
  • Prepare and disseminate employment contracts, identification cards, constant companion, certificate of employment, mission orders and other related documents to staff
  • Update organization chart and contact list on a monthly basis
  • Connect with the current and potential service providers to request for quotations, follow up on day to day concerns related to staff enrollment, billings and payments

Objective 2: Maintain a Good Archiving System of Staff Files

  • Constantly follow the HR Archiving Procedure in terms of filing both hard and soft copy of documents
  • Ensure that all staff details are being updated in HRIS and different HR monitoring tools
  • Confirm that all required files are uploaded in the correct venue such as HRIS, NHF, OneDrive and Microsoft Teams on the agreed deadline
  • Be responsible in the archiving follow up of documents from staff

Do you meet the profile required criteria?

  • Bachelor’s degree preferably in HR, Psychology, Social Sciences, Business Management or Administration
  • Technical Knowledge:
    • Good administration skills with strong attention to detail and ability to multi-task
    • Strong IT skills, including MS Office Word and Excel, HRIS, MS Teams knowledge
    • Excellent organizational, interpersonal and communication skills
    • Good grasp on different HR administrative facets
    • Ability to analyze problems and provide systematic solutions in line with established policies/procedures.
    • Ability to prioritize and deal with competing demands
  • 1 year professional experience in HR Management and Administration, INGO experience is desirable
  • Fluent spoken and written English and Filipino
