JOB PURPOSE
Execute administrative, HR and legal related tasks to support the mission HR functions following organizational standards and procedures ensuring legal compliance and liaise with field bases supporting compliance.
RESPONSIBILITIES
- Enter staff leave in the leave tracker, collect, and check the time sheets against the leave tracker and ensure proper update of same by the 10th of each month and share the link with the full HR team.
- Ensure weekly report of absentees against attendance register and follow up with relevant parties to ensure all absent days are justified, documented, and tracked (obtain doctor’s certificate for maternity / sick leave)
- Compiling, updating employee records, HR databases and personal files and keeping them up to date in order to facilitate HR process management to meet legal requirements and duties.
- Preparation of staff on-boarding documents by liaising with relevant sectors.
- Processing documentation and preparing reports relating to personnel and clients’ activities (staffing, recruitment, training, grievances, IRPs) and maintain registers & trackers at the HR department.
- Prepares employment certificate at the end of a contract to meet legal requirements while defending INTERSOS ’s interests and based on Internal Regulation.
- Assisting in payroll preparation by providing relevant data (timesheets, absences, leaves, etc).
- Communicating with relevant stakeholders as required during your function within the department (sending out communication to the mission in fulfilling relevant tasks).
- Properly handling complaints and grievance procedures.
- Produce ID cards for new and existing staff; and ensure proper documentation and timely distribution by maintaining the register.
- Management of personal files in the HR department.
- Assists with the preparation of personnel documentation for Audit purposes.
- Makes all administrative information available to the staff (posting, meetings, etc.)
- Assisting with day-to-day operations of the HR & administration functions and duties.
- Be available to perform any other HR tasks assigned by the Senior HR Officer, HR Manager and/or HR Coordinator and be available to travel to field locations as and when needed.
POSITION REQUIREMENTS
Professional Requirements
- Minimum of B.Sc./HND in Human Resource Management, Personnel Administration, or related field.
- A Certification in Human Resources management is desirable.
- Minimum 2-4 years proficient in Human resource practices & processes
- Minimum 3-year experience working with INGO preferable.

Personal Requirements
- Understanding of humanitarian operations principles, standards, and best practices.
- Manages effectively his/her own time as well as flexible and available to work overtime when needed.
- Good command of written and spoken English, Kanuri, and Hausa Languages is ESSENTIAL.
- Excellent interpersonal and team building skills and excellence as a team player.
- Analytical and reporting skills.

- Honesty and integrity and ability to cope with stressful situations.
