We are looking for a dynamic, driven Human Resources Business Partner (HRBP) who can effectively align HR strategies with business goals and provide strategic guidance to country leadership and staff in Malawi.

Job Summary

The HR Business Partner (HRBP) position is responsible for building relationships and partnering with employees and management to meet Feed the Children objectives and serve the mission. The position formulates partnerships across the HR function to deliver value-added services to management and employees that reflect the business objectives of the organization.

The HRBP will provide advice to leadership regarding best practices to maximize employee efficiencies, champion a diverse workforce throughout the employee life cycle, and foster a culture of continuous improvement through performance management.

The successful candidate should have a good understanding of business functions, good communication skills, good interpersonal skills, strategic thinking, and good organizational skills.

Reports Directly To:

Regional HR Business Partner. Dotted reporting to Country Director

Works Directly with:

Senior Management Team (SMT) including Associate Director of Program Management, Finance Manager, Country Director, Director of Operations, Program Managers, Program Coordinators, and staff. The successful candidate will also have a line of accountability to participants and stakeholders.

SCOPE OF WORK

Administration and General

Ensure a high level of confidentiality regarding personnel data, ensuring that it is stored in a secure location

Establish and maintain complete and accurate personnel files both electronically and in hard copy

Perform other assigned functions within their area of expertise

Business Partnering

Ensure the provision of good quality, appropriate and clearly communicated advice to line managers on all aspects of HR.

Understand best practice in managing change and support the Senior Management Team in the delivery of change.

Build, implement and monitor HR strategy, policy and procedures following international best practices

Guide supervisors in the development of job descriptions, career development, succession planning, discipline and mentorship.

Capacity Development

Build and develop the capacity of the staff and teams through effective coaching, performance management frameworks and human resource development plans.

Work with supervisors to create a staff development plan to ensure continuous learning and development.

Perform skills audits and address gaps. Work with supervisors to create a skills plan

Change Management

Take a lead on ensuring that the HR aspects of the organizational restructuring and implementation are delivered according to best practice HR standards and to comply with local legal procedures

Payroll, Compensation and Benefits

Prepares Country Office payroll and ensures that all statutory payments are accurately calculated in accordance with the Country Office laws.

Process all statutory payments applicable to the country’s revenue authorities as well as to any benefits service provider

Oversee locum/volunteer contracts and payments

Ensure timesheets are submitted prior to any payroll processing

Where applicable, liaise with medical aid and other service providers and ensure timeous onboarding of new staff, separations of exiting staff and communication of changes

Administer leave, promotions, terminations, increases, benefits and any other staff changes related to payroll.

Labour Legislation and Conditions of Service

Thoroughly review terms and conditions of employment and policies in line with the HR Best Practice Standards and local labour law, to create an HR reference manual.

Lead in developing effective HR systems and processes for the recording of employee data i.e. holidays, sickness records and other relevant documentation.

Ensure all staff have a current contract of employment and comply with all HR policies and practice, local labour law and organizational policies.

Ensure implementation of HR Policies, procedures and guidelines relevant to the employee lifecycle, with special focus on performance management, salaries and benefits, conditions of service, disciplinary procedures and professional development.

Maintain staff knowledge of all workplace policies and facilitate compliance through regular, documented refresher trainings

Interpret and advise the Country Director as well as Senior HR colleagues on employment legislation, including any newly gazetted legislation that affects conditions of service

Liaise with local legal consultants when legal advice is required for HR activities

Performance Management

Lead on the review of the performance management system to ensure the organization has a basis to carry out effective and efficient performance management.

Oversee the process of setting probation objectives for new joiners.

Ensure that regular performance and mentorship meetings occur between supervisors and supervisees

Recruitment and Onboarding

Plan for human resource needs and ensure that best practice of recruitment and selection policy and practice is implemented across all departments.

Prepare and lead an onboarding plans for all new staff that provides a comprehensive introduction into FEED.

Supervision

Lead, manage and motivate the national HR & Admin team, ensuring that they have clear objectives and receive meaningful feedback on their performance.
