Based in Poland you’ll be guided by the Ukraine Response Lead with support from Alight’s Chief People Officer & team.
The Role:
The main responsibility of the HR Lead is to care for the people & engagement function of our growing team in Poland. Alight’s Poland-based operation is responding to displacement caused by the invasion of Ukraine. The program will support displaced people and responding organizations to do the doable, guide newly displaced, and create safe havens for safety and healing.
You are responsible for ensuring the proper functioning of all human resources and people-related issues and for the smooth implementation of program activities in Poland. You will work in close collaboration with the Ukraine Response Lead to ensure that our teams are undoubtedly supported and cared in their work.
Primary Roles & Responsibilities
HR Management
- Lead the development and implementation of HR systems in collaboration with Alight’s global support team.
- Coordinate HR management oversight and leadership for our staff, consultants, and volunteers throughout the region.
- Collaborate with the Ukraine Response Lead to implement an HR strategy that is in line with the organization’s country and regional goals and objectives.
- Work with the Ukraine Response Lead to identify growth opportunities for staff
- Coordinate and lead the hiring process, including full-cycle recruitment for all positions, ensuring Alight’s brand and high-touch approach is experienced by all candidates.
- Develop and maintain an effective orientation package and ensure new staff members are appropriately orientated to the organizational culture and role specifications in a timely manner.
- Identify appropriate training opportunities, internal and external, formal and informal, to enable all Alight staff to broaden and develop their professional skills.
- Coordinate with Alight Poland’s wellness coach to support the wellbeing of team members, especially front line / direct service providers.
- Manage employment contracts and renewals.
- Advise managers of Alight HR policies regarding equal employment opportunities, compensation and employment benefits.
- Advise and coordinate with managers on appropriate resolution of employee relations issues and/or disciplinary action.
- Represent Alight Poland at HR related forums, hearings and investigations as requested.
- Manage and administer benefits programs such as medical insurance, vacation, sick leave, leave of absence and other related benefits.
- Collect, review and submit timesheets to the Finance department on a monthly basis.
- Collect, review and submit attendance summary to the Finance department on the 25th of every month
- Coordinate payroll issues with Finance department.
- Develop and recommend competitive benefits offerings; act as point of contact for Alight’s insurance carriers.
- Analyze wage and salary reports and data on a regular basis to determine competitive compensation plan.
- Ensure Alight is in compliance with all local labor and taxation laws, and minimization of legal exposure.
- Obtain a copy of the local labor laws and establish a competent locally-based legal advisor
- Develop Job Descriptions for all positions in conjunction with Ukraine lead and HR Consultant
- Notify Minneapolis HR of new staff so a background check can be conducted (or make sure background checks, including Bridger checks, are conducted in country at time of hire)
- Create HR files for each employee and ensure inclusion of all Alight required documents and all documents required per local labor law (digital or paper based).
Qualifications
We’re looking for the following education, technical skills, & knowledge:
- A minimum of 5 to 7 years of INGO or private sector experience setting up and managing human resource and operations systems
- Knowledge of NGO systems and procedures desirable.
- Demonstrated understanding of complex emergencies with experience in insecure environments.
- Demonstrated attention to detail, following procedures, meeting deadlines and working and problem-solving independently and cooperatively.
- Excellent negotiation and representation skills.
- Effective verbal and written communication, and organizational skills.
- Fluency in oral and written Polish and English is required, Ukrainian a plus.
- Must be willing to travel to communities throughout Poland (Under Alight’s security protocols)
- Ability to work effectively with a diverse team in a sensitive environment.
