Job Description
The purpose of the HR Officer position is to provide administrative and technical support in various HR functions. The HR Officer will manage personnel data, coordinate recruitment processes, and oversee HR administrative tasks. This role also involves maintaining accurate employee records, managing HR trackers, and coordinating key HR functions such as leave management, onboarding, and mandatory training.
Main Responsibilities:
Generic Responsibilities:
Adhere to Rahmet Yardımlaşma Derneği’s policies, tools, handbooks, and guidelines.
Implement delegated support tasks in line with the plan of action.
Prepare and develop periodic status reports as required by management.
Assist in the implementation of the HR portfolio as planned.
Independently implement HR procedures and activities according to priorities and standards.
Develop and maintain expertise in the specialized area of work to effectively support the team.
Take initiative in resolving daily HR issues in alignment with established procedures and standards.
Comply with Rahmet Yardımlaşma Derneği’s HR policies and procedures.
Support any other tasks relevant to the HR function.
Specific Responsibilities:
Lead the implementation of automated HR systems, specifically for leave management and work development processes.
Provide technical support for digital HR solutions.
Manage the full recruitment cycle for field staff (grades 1 to 4) and community-based workers.
Process monthly payments for community-based workers, ensuring all required documentation is collected and submitted to finance.
Prepare and distribute national staff timesheets and payslips monthly.
Conduct exit interviews for grade 1 staff.
Prepare non-renewal letters for staff whose contracts are ending.
Draft and manage contracts and renewals for staff and community-based workers.
Serve as the focal point for leave management and maintain up-to-date leave balances.
Track and archive mandatory training records and update related databases.
Maintain and update all staff trackers, including the HR database, on a monthly basis.
Manage and update contact lists and organizational charts for field staff.
Prepare official HR letters, such as experience letters, salary transfer letters, and contract addendums.
Maintain accurate and confidential personnel records, both electronic and physical, and conduct regular spot checks.
Coordinate the onboarding process for new staff and community-based workers.
Ensure HR archives are maintained in compliance with Rahmet Yardımlaşma
Derneği’s regulations.
Handle sensitive HR information with confidentiality and care.
Attend all assigned meetings and prepare reports as required.
Perform any other HR-related tasks assigned by the line manager.
Qualifications:
A bachelor’s degree in business administration, social sciences, or a related field.
Relevant experience in HR roles, including recruitment, administration, and payroll.
Experience working in humanitarian or recovery contexts.
Proven track record of delivering results related to HR responsibilities.
Knowledge of leadership skills and competencies.
Fluency in both Arabic and English, written and spoken.
Advanced proficiency in Microsoft Office (Excel, Word, PowerPoint, and Outlook).
Excellent communication and interpersonal skills.
Demonstrated experience in personnel and performance management.
Strong attention to detail and the ability to systematically follow up on tasks.
Effective organizational and teamwork abilities.
Approachable, trustworthy, and capable of maintaining confidentiality.
Strong diplomacy and negotiation skills.
Ability to foster a positive team spirit.
