JOB SUMMARY

The HR Officer at MedGlobal is responsible for managing all aspects of human resources and payroll functions within the organization. This role involves handling recruitment processes, employee relations, payroll administration, and ensuring compliance with labor laws and organizational policies. The HR Officer works closely with Global HR and employees to support a positive work environment and contribute to the overall success of the organization.

MAIN DUTIES AND RESPONSIBILITIES

Recruitment and Onboarding:

  • Oversee full life cycle recruitment activities: sourcing, screening, drafting offer letters, and maintaining recruiting systems.
  • Draft and update job descriptions, classify positions, and conduct employee onboarding activities.
  • Conduct background checks and administer employee benefits programs.

Employee Relations:

  • Handle day-to-day queries and resolve work-related problems for staff and management.
  • Assist in communicating policies and procedures, promote understanding within the organization.
  • Support performance review process, employee recreation, and recognition programs.

Payroll Administration:

  • Administer employee benefits programs, answer employee questions, support claim resolution, and maintain related systems.
  • Serve as employee liaison for benefit deductions, pay-related issues, payroll, leaves administration, and timesheet follow-up and approval.
  • Administer leaves, track leave balances, process leave requests, and ensure compliance with leave policies.
  • Follow up and approve timesheets, ensuring accuracy and adherence to company policies.

Benefits Administration:

  • Administer employee benefits programs, such as health insurance, retirement plans, and leave policies.
  • Assist employees with inquiries regarding benefits eligibility and enrollment.

HR Policy and Compliance:

  • Develop and update HR policies and procedures in compliance with labor laws and organizational standards.
  • Conduct regular audits to ensure adherence to HR policies and legal requirements.
  • Complete MedGlobal’s commitment to social insurance, liaise with the Tax department, Labour office, and relevant Sudanese government entities.
  • Ensure alignment and endorsement of internal policies with government stakeholders.

Data Management:

  • Maintain employee records, ensure compliance with HR Manual, and handle new hire, termination, and change of status forms with payroll.
  • Coordinate and conduct employee exit interviews, reporting outcomes to management and maintaining data.
  • Administer leaves, track leave balances, process leave requests, and ensure compliance with leave policies.
  • Follow up and approve timesheets, ensuring accuracy and adherence to company policies.

QUALIFICATIONS AND SKILLS

  • Bachelor’s degree in Human Resources Management, Business Administration, or a related field. Advanced degree or HR certification (e.g., SHRM-CP, PHR, CIPD) may be preferred.
  • Minimum of 3-5 years of relevant experience in human resources management, with experience in international organizations or NGOs preferred.
  • Demonstrated experience in recruitment, employee relations, compliance, and administrative HR functions.
  • Familiarity with Sudanese labor laws and regulations would be advantageous.
  • Strong understanding of HR principles, practices, and procedures.
  • Excellent interpersonal and communication skills, with the ability to effectively interact with employees at all levels.
  • Proficiency in MS Office Suite and HRIS (Human Resources Information Systems) software.
  • Attention to detail and ability to maintain confidentiality.
  • Strong organizational and time management skills, with the ability to prioritize and multitask in a fast-paced environment.
  • Problem-solving and conflict resolution skills.
  • Ability to work independently as well as part of a team.
  • Knowledge of social insurance, tax regulations, and labor laws in Sudan.
  • Understanding of international HR practices and compliance requirements.
  • Familiarity with recruitment strategies, including sourcing, screening, and onboarding processes.
  • Knowledge of employee benefits administration and performance management processes.
  • Integrity and ethical behavior.
  • Cultural sensitivity and ability to work effectively in a diverse and multicultural environment.
