POSITION OBJECTIVES:

The personnel administration manager establishes employment contracts and amendments. He manages payroll and social security contributions for employees within his scope, and is responsible for the department’s internal communication.
In this context, his responsibilities are as follows:

Responsibility 1:

  • Drafts employment contracts for employees in Belgium and carries out procedures related to contractualization
  • Checks the data provided by the recruitment department (reason for fixed-term contract, duration of contracts, etc.)
  • Writes contracts based on standards, has them validated and transmits them to employees
  • Inscribes staff to health and retirement insurance
  • Creates administrative files for new hires, establishes legal documents and regularly updates individual files on the server, the Garh Outlook box and on the HRIS
  • Liaises with the NSSO for the obligations of secondment of headquarters staff on mission
  • Drafts end-of-contract documents
  • Is in contact with the social secretariat for the closing of contracts and the balance all accounts
  • Guarantees compliance of employment contracts and their management with legal obligations and internal rules in force
  • Edits employer certificates and work certificates

Responsibility 2:

  • Manages payroll and social contributions for employees in Belgium and manages CIP interns
  • Integrates variable payroll data each month
  • Manages the encoding of sick leave
  • Edits the preparatory payrolls, checks them and transmits the corrected elements to the social secretariat for final validation of the payroll.
  • Manages links with external organizations (GROUPS, ONSS, Insurance)
  • Manages payroll extractions for audits and other departments within the organization
  • Ensures that payroll software settings are updated with the external service provider (GroupS) and with the HI HRIS team
  • Ensures the daily administrative management of the HRIS (validation of employees’ modifications to their personal file, for example)

Responsibility 3:

  • Manages the contracting of interns (only for CIP internships)

Responsibility 4 :

  • Is in charge of internal communication for the ADP department (processing of employee requests)
  • Is responsible for first level processing of employee requests
  • Is Key user Hipeople (SIRH HI).

REQUIRED PROFILE:

  • With a bachelor’s degree in Human Resources, you have at least 3 years of professional experience, including initial experience in personnel administration and payroll;
  • You have a good knowledge of Belgian legislation (labor law), and know how to work in a global organization;
  • You know the importance of respecting confidentiality, and work with rigor and excellent organization;
  • You are agile and able to integrate new tools, as well as work in a team;
  • You have good writing, popularization and listening skills, both in French and in English.

POSITION CONDITIONS:

  • 3-month fixed-term contract ideally starting from 06/03/2024

  • Leave: 20 days of legal leave + 6 days of extra-legal leave to be prorated depending on the length of the contract;
