ABOUT THE ROLE

Overview

The Human Resources Administrative Assistant is responsible for providing support equally to both the Head of Human Resources and the Director of Programs. S/he will provide support in recruitment, onboarding, staff contracts and interacting with the various public local entities (e.g. IND). S/he will also provide support regarding staff benefits and prepare the payroll. In addition, s/he will provide operational support in Programs.

This role is within the Finance & Operations directorate, that supports and facilitates the operational units globally, and reports to both the Head of Human Resources and the Director of Program.

Areas of responsibility

Human Resources

· Provide support regarding staff contacts. This covers new contracts, addendum and end of contract activities in line with the HR policies. Ensure that this is appropriately recorded in GCA’s systems.

  • Register staff movements/changes in the HR system and ensure that the information is fully accurate.
  • Manage and follow-up on the various aspects of recruitment such as publishing new vacancies on GCA’s recruitment system, GCA’s website and other internet platform such as LinkedIn.
  • Provide assistance in the recruitment process — assist in organising and/or participating in interviews.
  • Assist in the onboarding of new staff, and support the relocation of staff coming from abroad.
  • Interact and follow-up with various Dutch entities to support the various staffing actions related to visas and assisting staff in obtaining the 30% tax exemption for highly skilled staff relocating from abroad.
  • Interact with Arbo on staff related health issues.

· Process the payroll and ensure that all the data is fully accurate, that all required statutory deductions are made and subsequently paid to the appropriate authorities

  • Prepare for and support internal and external financial audits, providing all information required by local legislation, donors, or other bodies

Operational support

  • Operational support directly to the Director of Programs and other Directors, with a particular focus on agenda management.
  • Setting up internal and external meetings
  • Ensure that health and safety regulations are followed
  • Maintains office services by organizing office operations and procedures
  • Assists with organising events when necessary
