Human Resources and Admin Officer At Norwegian Refugee Council

NRC Poland was established in March 2022 in response to the Ukraine crisis and to provide humanitarian assistance to refugees fleeing the war in Ukraine. Equally NRC started operations in Romania and Moldova, as well as is scaling up its humanitarian response in Ukraine where it has been operational since 2014

About the role:

We are recruiting a Human Resources and Administrative Officer to join our dynamic team in Poland, Warsaw. We are looking for someone with strong organizational skills and teamwork skills, good communication and interpersonal skills, high level of fluency both writing and speaking in English and Polish, ability to adapt and work under pressure with minimum supervision

Human Resources:

  • Recruiting staff – this includes developing job descriptions and person specifications, preparing job adverts, checking application forms, shortlisting, interviewing and selecting candidates.
  • Support with the Induction and on-boarding of NRC staff
  • Implementing policies on work regulations, performance management, equal opportunities, disciplinary procedures and absence management.
  • Implementing with line managers HR planning strategies which consider immediate and long-term staff requirements
  • Prepare periodic HR reports.
  • Provide advice on the incorporation of local labour laws with NRC’s HR policies and procedures.
  • coordinate training and development needs in conjunction with departmental managers and delivering trainings in line with NRC’s policies and procedures.
  • Coordinate with relevant Pension Office, Medical insurance company, Group Life Insurance etc
  • Maintain and keep records of all NRC staff timesheet, Payslips, Track Performance Management Compliance
  • Leave administration tracking at the Country Office

Administration:

1) Documentation: **

  • Liaising with relevant authorities in consultation with HR Manager and the lawyer for temporary residence permit, work permits for international staff and visitors: invitation letters, process visa permits and a deal with immigration issues
  • Welcome packs, Induction packs for visitors/new staff
  • Arrangement of ID cards and business cards
  • Managing of translation services of official documents on request

2) Office & accommodation: **

  • Management of office: cleaning, maintenance, access cards, payment of electricity/water bills, ensuring functioning and securing office equipment’s, provision of office supplies consumables and non-consumables
  • Manage meeting rooms (occupancy, furniture, equipment)
  • Managing of minor maintenance for the Warsaw office including office equipment/furniture as agreed with procurement department.
  • In close collaboration with the procurement team, ensure adequate supply of stationery and office supplies.
  • Management of lease agreements for all premises: preparation, renewals, termination, rents, addressing issues with Landlords,
  • Arrange accommodation for visitors and staff in hotels from booking to billing,

3) Others: **

  • Organising meetings and venues for general events (welcoming, staff leaving, honoring programme, staff meeting, etc.) or creative services (Team Building, Motivational, etc.)

Skills and experiences

  • University degree, in Business Administration or related field preferred; Professional certification in Human Resources.
  • 2-3 years’ experience in Human Resources ManagementKnowledge about own leadership skills/profile
  • Previous experience from working in complex and volatile contexts
  • Documented results related to the position’s responsibilities
  • Fluency in English and Polish both written and verbal
  • High level competence in computer skills (Microsoft office Applications)**What We Offer**
