Mission
Carry out administrative, HR or legal work as an assistant to the HR manager of the project, in accordance with MSF standards and procedures and in such a way as to ensure compliance with regulations and to materialize the HR capacities necessary to achieve the objectives of the project.
Main responsibilities:
- Under the supervision of the project HR manager, manage personnel files ensuring their accuracy and compliance as well as the punctuality of payments.
- Update the HR database and personnel files to facilitate management procedures.
- Update social security and tax office records to comply with legal requirements, including making any necessary changes to ensure compliance with labor and tax laws.
- Prepare employment contracts in accordance with local requirements including specific modifications where necessary to comply with local labor and tax laws.
- Monitor all lease expiration dates and notify the Administrative Manager in time for renewal or alternative solution.
- Prepare payroll records for all staff, configure and update necessary elements to ensure the punctuality and accuracy of staff payroll.
- Make all administrative information available to staff (displays, meetings, etc.); assist the project finance manager in translating documents into the local language and assist him, at his request, in meetings.
- Any other task delegated by the project HR manager.
RESPONSIBILITIES SPECIFIC TO THE MSF SECTION / CONTEXT
- Ensure monthly and annual monitoring of social security, tax and IPRES files and declarations in order to comply with legal requirements.
- Ensure that payroll software is updated for any changes or modifications concerning a worker
- Manage and archive files (digital and physical) of all staff (contracts, leave monitoring, medical leave monitoring, administrative documents, etc.)
- Monitor day laborers (receipt of request, monitoring of time sheet, preparation of pay slip)
- Prepare per diem sheets for all visiting or seconded staff
- Ensure follow-up of staff health insurance (membership letters, termination, invoices, health cards, etc.)
- Edit service notes
- Prepare various HR documents requested by staff.
Profile sought:
Education: Diploma in Human Resources Management / Finance, Business Management, Administration desired
Experience :
- Professional experience of at least two years in corresponding positions essential;
- Experience in developing countries with MSF or other NGOs desired

Status and conditions:
