Human Resources Assistant- Part Time At Center for Victims of Torture

Summary:

The HR Assistant will be responsible for providing support to the HR Director. This position will focus on the operational side of HR, including but not limited to filing, insurance, leaves management, and any administrative support needed within the HR department, that might be requested to support recruitment.

Organization: CVT is an international nonprofit dedicated to providing trauma healing services to survivors of war and other violations. CVT works toward a future in which these violations cease to exist and victims have hope for a new life. The organization maintains its global office in Minnesota, USA with offices in Africa and the Middle East. We work locally, nationally and internationally through programs that provide trauma rehabilitation, conduct technical assistance and capacity building to human rights activists, civil society organizations, and local service providers around the world who can prevent and treat gross human rights abuses, and advocate for human rights and an end to gross human rights violations.

Duties, objectives and competencies

  • Maintain the HR Department’s filing system (soft and hard copies) and ensure that all personnel files are up to date and complete. This is including the HRIS system. Maintain up-to-date staff database.
  • Support with general audit requests related to staff documents as assigned.
  • To facilitate preparation and issuance of the experience, employment, salary proof, and commitment letter/s for CVT Staff
  • Provide administrative support in arranging events, meetings, etc.
  • Collect Jordan-based staff and timesheets and ensure correct allocation and information are reflected.
  • Follow up on updating data on the leaves management system and create reports when needed.
  • Support with contract renewals and updating contract tracker, along with up-to-date Job Descriptions.
  • Lead on the offboarding process administratively, the exit checklist is maintained, and all support documents are documented in a timely manner.
  • Lead on the onboarding process, prepare HR orientation for new hires and coordinate with other Depts for their role.
  • In coordination with line manager support with administrative requirements for recruitment processes.
  • Under the supervision of line manager, assistant in the renewal process of all HR Dept managed agreements.
  • Any other assigned HR related task by line manager.

Requirements (essential)

Bachelor’s degree in business administration or any relevant field

Minimum one and maximum three years of HR experience

Good knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook

Good oral and written communication skills.

Good English and Arabic language.

Requirements (desired)

One year of NGO experience in a relevant role (HR, Admin)

Supervisory Responsibilities: No supervisory responsibilities; may change according to the needs of the project / delegation of the supervisor.

Internal Collaboration: Primary line of reporting to HR Director, close collaboration with Jordan-based local leadership, S/he works closely with a team of supervisors and is part of the senior management team.

External Collaboration: Other service providers in the field, donors, and funders, members of the INGO HR sub working group.

Work Environment:

  • Under normal conditions, work will be completed in a typical office environment with off-site meetings
  • Remote working from home when necessary due to public health conditions or other reasons
  • Time spent on the computer is approximately 85%
  • Regular work week is Sunday through Thursday 9am -5 pm.

Physical Demands: While performing the duties of this job, the employee is regularly required to talk, hear and see. The employee frequently is required to sit, stand, walk and climb stairs; use hands to finger, handle or feel; and reach with hands and arms. This position requires the ability to occasionally lift and carry heavy supplies.

Travel: No Travel required but this may change based on program needs.
