Human Resources Coordinator At Collective Aid

The Human Resources Coordinator is responsible for the recruitment, training and welfare of
Collective Aid’s volunteers in Calais, Northern France. They ensure the project receives
appropriate volunteers by conducting interviews and maintaining relationships with partners.
Each week, they facilitate comprehensive training and onboarding for all volunteers. They
monitor the welfare of the team through one to one conversations and share in
inter-organisational safeguarding responsibilities. They work closely with the WASH and the
Donations and Warehouse Coordinators to manage the day to day activities of our volunteers.

At any one time, Collective Aid supports, as one of the main NFI-Distributors, between 1000
and 2000 people sleeping rough in Calais, providing them with clothing and bedding
equipment. We also operate a WASH centre, allowing displaced people to wash their clothes,
and access a safe and warm indoor space. Although the infamous Calais Jungle was evicted
in 2016, large numbers of people on the move continue to live precariously in the North of
France. Facing evictions by the police every 48 hours, the people we support have constant
material needs.

Our Human Resources Intern is responsible for ensuring Collective Aid’s project in Calais has
enough volunteers with the right skills to provide a high quality service to people on the move.
As a volunteer-based organisation, we believe that well trained volunteers have an important
role in the face of European border policy. The Human Resources Coordinator has a key role
in upholding Collective Aid’s standards and ethics on safeguarding, boundaries and welfare
by providing a programme of training throughout each volunteer’s placement. Our work is emotionally challenging, this role ensures our volunteers feel safe and supported and that a
healthy working culture is promoted in the team.

RESPONSIBILITIES AND EXPECTATIONS

Recruitment related:
● Respond to applications and emails from potential volunteers.
● Conduct interviews to assess applicants’ suitability.
● Provide pre-arrival information and coordinate their arrival in Calais.
● Plan and organise volunteer housing.

Onboarding related:
● Orientate volunteers on Collective Aid’s workspace, working practices and culture.
● Train volunteers to carry out field work in line with Collective Aid’s safeguarding
policies, values and security protocols.

Welfare related:
● Hold individual welfare check ins to assess volunteer welfare and to provide support.
● Book sessions with mental health professionals for volunteers and staff.
● Work on safeguarding issues in Collective Aid and with other organisations in Calais.

Other tasks:
● With the managers, respond to conflict and misconduct in line with Collective Aid’s
policies.
● Act as a point of contact for volunteers throughout their time with the organisation.
● Work closely with the other coordinators and the project managers in Collective Aid.
● Represent Collective Aid at coordination meetings.
● Help to maintain interorganizational relations.
● Team lead distributions and WASH shifts.

QUALIFICATIONS AND EXPERIENCE

● Fluent in English and a working knowledge of French. Other languages are an asset.
● Can commit for six months.
● Previous field work experience with a grassroots NGO supporting displaced people.
● Genuine passion for supporting displaced people in Europe.
● Workable knowledge of google sheets and docs is essential.
● Previous experience in safeguarding, recruitment and active listening is preferred.
● Driver’s licence preferred.
