Position Title : Human Resources Trainee/Apprentice in Human Resources
Supervised by: Regional Human Resources Coordinator
Replying to: Regional Human Resources Manager
Duty Station: Dakar
Area of Operation : Region West Africa, North Africa and Latin America (14 countries)
Period considered: 6 months (potentially renewable)
Type of contract : Traineeship Agreement (international contract)
Salary & Benefits : 10,000 DKK (danish crowns) + Traineeship conditions
In accordance with its internal rules, DRC is not allowed to employ, within the framework of’an international contract, nationals of the country in which this contract will be based (in this case, nationals of the Republic of Senegal).

1. Context
DRC has been operating in West Africa since 1998. The DRC regional office West, North and Latin America (hereinafter : RO WANALA RO) is based in Dakar, Senegal, and covers thirteen countries outside Senegal. Led by the regional executive director for the West, North and Latin America region (hereinafter : the WANALA region), DRC’s RO WANALA supports and provides strategic guidance for the Country Offices of the WANALA region, which currently includes : Algeria, Burkina Faso, Cameroon, Central African Republic, Colombia, Libya, Mali, Mexico, Niger, Nigeria, Senegal, Chad, Tunisia and Venezuela.
Outside the position of Human Resources and Administration Intern, L’Regional Human Resources team includes the following positions:
- Regional Human Resources Manager
- Regional Human Resources Coordinator
- Regional Recruitment and Mobility Specialist
- Regional Human Resources Officer
- Human Resources & Administration Intern
2. Object
Based(e) in Dakar within the office of DRC Africa of the’West, North and Latin America, the/HR Trainee supports the Regional Recruitment & Mobility Specialist, its role being focused largely on the management of recruitment.
La/le HR Trainee also supports the Regional Human Resources Manager and Coordinator in the management of’an HR service (cost/time/quality) adapted to the needs of DRC Country Offices.. In addition, there will be frequent interactions with all departments of the regional office and regular interactions with the leadership and coordination teams of the DRC Country Offices.
3. Responsibilities
In detail, the responsibilities of HR Trainee are as follows:
Objective 1: Recruitment (50%)
For certain recruitments (distribution to be agreed) and under the supervision of the Regional Human Resources Manager :
- Support the Recruiting Manager (Hiring Manager) in the definition of his need (function description, classification, etc.) ;
- Support the Recruiting Manager (Hiring Manager) in defining the selection steps and their calendar including several interlocutors ;
- Reformatting/optimizing job advertisements to be filled on the basis of’an initial proposal of the Manager who recruits ;
- Publish and broadcast advertisements including proactive candidate search ;
- Ensure the first screening of applications ;
- To ensure the administration of all selection phases and communication with all stakeholders ;
- Provide feedback to candidates who have completed interviews ;
- Manage requests for references, preparation and’sending of job offers ;
- Make contract requests and ensure pre-integration follow-up (receipt of the employment contract, information from’assurance, etc.).
Objective 2: Contribution to a cross-cutting HR service tailored to the needs of the DRC Country Offices and the Regional Office (30%)
This contribution includes:
- L’assistance to the use of HR tools from DRC (HR Talent Recruiter, Dynamics, etc.) ;
- The preparation of materials to explain the functioning of HR to managers and staffs : toolbox, FAQ, communication materials ;
- L’ support to the’ organisationevents (RH) and participation : HR workshop at regional and also country level, networking and meetings with HR representatives of’ other international organisations ;
- L’administration RH courante
The tasks listed above are not exhaustive. They can evolve at the request of the Regional Human Resources Manager, as well as’ at the request of the Regional Head of Support Services and/or the Executive Director, taking into account the dynamics of needs and the’environment.
Goal 3: HR Tools – ERP (20%)
Under the supervision of the Regional Human Resources Manager and the Regional Human Resources Coordinator:
- Give one-off support on the basis of’a precise specifications to countries experiencing problems with their HRIS
- Participate in the support and updating of Master Data HR in Dynamics for countries in the region (especially for countries with difficulties)
- Participate in the support of Country Offices relating to the digitization of important Human Resources documents and their updating under the Sharepoint
- Participate in the digitization of documents important for Human Resources and their updating under the Sharepoint
- Participate in the resolution of bugs, in particular by punctually following up with the Country Offices and/or the headquarters
- Help prepare workshops and training sessions on HR tools
- Assist in the preparation of dashboards and extract HR information from Dynamics on demand
The tasks listed above are not exhaustive. They can evolve at the request of the Regional Human Resources Manager, as well as’ at the request of the Regional Head of Support Services and/or the Regional Director, taking into account the dynamics of needs and the’environment.
4. Qualifications required
- Professional experience of’ at least twelve months in a non-governmental organization (national or international) or in a donor’ (preferably, in an international non-governmental organization) ;
- A degree of type of Master, preferably generalist in social sciences, political sciences, international relations or Bioforce. A specialization in Human Resources Management is an obvious asset;
- A perfect command (in the written and the’oral) of the French language and the English language (current level required with excellent writing skills, in particular to write correspondences and/or to carry out possible’ translations between French and’anglais) ;
- A perfect command of Microsoft Office (Word, Excel, Outlook, PowerPoint).

6. General regulations
- The/the Trainee shall follow the DRC’s instructions on safety, confidentiality and ethical guidelines, including the Code of Conduct and the Humanitarian Responsibility Framework.
- La/le Trainee shall not engage in any other remunerated activity during the term of its contract with the DRC without prior authorisation from’ to do so.
- The/the Trainee shall not engage in any activity that could adversely affect the DRC or the implementation of any project during the term of the contract with the DRC.
- La/le Trainee must not give interviews to the media or publish photos or other documents related to the project without prior authorization.
- The/the Trainee shall return all equipment borrowed for the project to the DRC after the end of the contract period or upon request.
