Description of Duties
The iMMAP SBP Officer will work under the direct supervision of the iMMAP Standby Partner Officers Team Lead, with the guidance and support of the iMMAP Project Manager and under the overall guidance of the iMMAP Representative in Geneva. The iMMAP SBP Officer will collaborate with iMMAP personnel organization-wide and with a broad range of external partners.
· The main responsibility of this role is to support the work of the SBP Team to execute deployments requested by the nine UN as well as other Partners and in line with the procedures of iMMAP and Partners.
· Support the recruitment process for the IMMAP Stand-By Partner Roster, provide HR and admin support for all deployments, ensure the efficiency of iMMAP SBP deployments in close collaboration with the SBP Team.
· Improve iMMAP SBPP SOPs and follow up on technical goals of each deployment, support the process of monitoring and evaluation of each deployment according to donor and UN partner requirements.
· Provide support to the SBP Personnel with day-to-day challenges/questions/guidance
· Support with a monthly collection of reports from the SBP deployees.
· Help with the development of quarterly and performance reports, presentations, and activity reports accordingly to donor’s requirements.
· Support with all relevant proposal writing activities to include development of project narrative, concept note, budget, monitoring and evaluation, and implementation plan, from donors to the field.
· Attend meetings, conferences, workshops, and humanitarian events related to activities of iMMAP globally including but not limited to donors meetings, Stand-By Partnership Network meetings, Duty of Care and Learning Working Groups, IMWG, cluster coordination meetings, etc.
Partnerships Management and Support:
· Support development and promoting relationships with Standby Partners
· Support expanding and negotiating new Standby Partnerships
Development and Coordination:
· Liaise with UN SBP Focal Points, iMMAP Country Offices, HR/Admin/Finance/ Security on SBP Partner Programme matters
· Take part in the process to identify and recruit Standby Partner personnel using the iMMAP HR Platform
· Coordinate deployments from the beginning to an end, as well as update SOPs, tools, and guidelines as necessary.
Information Management and Secretariat Functions:
· Manage/update/maintain SBP Roster and other databases on Standby Partner surge requests and deployments as a source to analyze and identify trends and gaps in expertise
· Proactively support in production reporting documents, assessment, and mapping of Standby Partner capacity
· Support the production of communication and advocacy materials and proactively engage with the iMMAP Communications team to update the iMMAP Standby Partnerships pages on the main website
· Proposing innovative ways to improve information dissemination and raise awareness about IMMAP SBP Programme
Quality Assurance:
· Support in defining and implementing of new standards, guidelines, and systems to monitor Standby Partner deployment performances, conducting regular analysis of progress, lessons learned and gaps, recommending action and solutions for improvement
· Provide support with field missions to monitor and evaluate activities, needs, results, and gaps, recommending alternative and/or improved actions.
Capacity Building and Training:
· Help identify key knowledge, experience, and skills toward developing and adapting induction package and on-line training for standby personnel
· Support in execution of briefings, induction, and trainings of SBP deployees and other iMMAP personnel as required
· Perform other related responsibilities as assigned
Requirements
· At least 3 years of experience with increasing responsibility in the field of Humanitarian Information Management (HIM), disaster and emergency management, humanitarian assistance or a related field.
· University degree or related training in administration, HR, management, and/or donor relations.
· Good management and organization skills, very good knowledge of HR/admin and finance aspect of project management
· Good analytical skills with the ability to multi-task and produce results under pressure
· Strong knowledge of financial and monitoring & evaluation tools
· Proven ability and experience interacting with a range of organizations and stakeholders from the UN, Donors, humanitarian clusters, NGOs
· Experience with or good understanding of inter-agency collaboration
· Ability to write and synthesize information in a clear and concise manner.
· Respecting and promoting individual and cultural differences with awareness and understanding of cultural and political sensitivities.
· Diplomacy, tact, and courtesy
· Excellent interpersonal skills
· Strong organization, presentation, and communication skills
· Fluent in English and French (written and spoken); Spanish and Arabic are desirable
Working Conditions
· The position is home-based as local recruitment without an expatriate compensation package.
· The position is expected to be a full-time position with renewal based on performance results
· Travel costs and Daily Subsistence Allowance are only provided when on mission for iMMAP
