POSITION BASED IN ANY MSF-OCBA HUB SUBJECTED TO FEASIBILITIES
GENERAL CONTEXT
Médecins Sans Frontières is an international independent medical-humanitarian organization, which offers assistance to populations in distress, to victims of natural or man-made disasters and to victims of armed conflict, without discrimination and irrespective of race, religion, creed or political affiliation.
MSF is a civil society initiative that brings together individuals committed to the assistance of other human beings in crisis. As such MSF is by choice an association. Each individual working with MSF does it out of conviction and is ready to uphold the values and principles of MSF.
The MSF movement is built around six operational directorates. MSF OCBA is one of those directorates. The operations are implemented by field teams and the mission coordination teams; together with the organizational units based in Barcelona and decentralized in Nairobi, Dakar and Amman. The field operations are guided and supported by 5 Operational Cells, the Emergency Unit and other departments supporting operations, including the Human Resources Department, of which the Learning Unit is one essential component.
JOB ENVIRONMENT AND GENERAL OBJECTIVE
MSF OCBA Learning Unit is integrated in the Human Resources Department and works closely with MSF-OCBA departments with the objective of guiding the definition of appropriate learning strategies to respond to the diverse needs of the missions, teams, and individuals across the organization. The learning needs addressed range from induction to managerial to technical topics relevant to the activity of the different areas and Departments (Medical, Logistics, Operations, Human Resources, Finance, etc).
Integrated into the L&D Field Support area, the Induction Coordinator will oversee the adequate planning, organization, implementation, monitoring and continuous improvement of learning solutions and processes supporting the integration of people into the organization and facilitating a smooth and positive onboarding experience.
The Induction Coordinator will report to the Head of the Learning Unit and will work closely with the L&D Field Focal Points for the implementation and monitoring of Induction processes and programs; there will also be continued collaboration with Learning Solutions area for the development and enhancement of Induction learning resources and with the Learning Administration area for the deployment of different induction events.
This position will also require a fluid coordination with Onboarding & Deployment area in HR and regular work with different departments for the definition and maintenance of Induction Learning Paths and to coordinate the participation in the delivery of Induction Learning Programs.
MAIN RESPONSIBILIES AND TASKS
1. Development of an Induction Learning Framework
- Updates Induction resource and process mapping and analyses gaps and areas requiring improvement.
- In collaboration with relevant HR functions (Onboarding & Deployment, Field HR) develops guidelines and tools than can support the implementation of induction training at different levels to effectively support employees, line managers and HR teams.
- Coordinates the definition of general induction learning paths and integrate these into Tembo LMS. On a later stage will also coordinate the definition of Job Specific induction paths with the contribution of the relevant departments and in close collaboration with Learning Referents.
2. Implementation of MSF General Induction Learning Programs
Welcome to MSF (WtMSF)
- Oversees implementation of WtMSF course across MSF OCBA ensuring that the different modalities of the course are deployed, and teams have the necessary tools and competencies to promote the course and implement training sessions.
- Maintains centralized record of WtMSF trained facilitators and plans for the implementation of WtMSF Training of Facilitators sessions to ensure field capacity to deliver course as required.
- Organizes and implements WtMSF group training sessions (Virtual & F2F) as required.
- Acts as OCBA Focal Point for the WtMSF intersectional group and ensures OCBA requests for contents update are consolidated and presented for regular program reviews.
- Ensures updates to the program (content, materials, etc) are disseminated at all relevant levels.
- Monitors course coverage both for online and face-to-face modalities and develop proposals to maximize use of course.
Préparation Premier Départ/First Departure Preparation (PPD)
- Prepares PPD annual schedule and coordinates the implementation of the online self-paced and group virtual editions along the year.
- Oversees proper communication about the PPD Program with all relevant stakeholders (participants, departments,) along the different phases of the program.
- Maintains PPD Course documentation updated and available for the different users.
- Reviews and improves PPD implementation protocols and tools.
- Monitors proper functioning of PPD application process and liaises with Recruitment and Pool management areas to ensure proper planning and collaboration.
- Coordinates with the Learning Unit Administrator assigned to PPD editions to ensure proper execution of administrative and logistical activities.
- Provides PPD facilitators with required information and documentation for preparing delivery of modules as well as pedagogical support for the continuous improvements of the sessions.
- Monitors participant progress at online self-paced course and facilitates participant input at PPD forums.
- Coordinates implementation of live sessions facilitating the logical linkage and articulation between the different modules and supports facilitators in managing group learning activities.
- Analyses course evaluations, prepares course report for each edition and provides feedback to facilitators.
- Prepares annual course report with summary of activities and proposals for improvement.
- In collaboration with Learning Solutions area participates in the design and development of program updates.
Other responsibilities
- Ensures regular communication about Induction Training solutions (e.g. Including information at Learning Solutions Catalogue, newsletters, organizing informative sessions with HR teams, etc.).
- Monitors coverage and impact of the different Induction programs and presents proposals for their continuous improvement.
- Participates at the review of the Karibu program and coordinates its implementation.
SELECTION CRITERIA
- Solid experience in coordinating training programs and implementing different learning modalities (face-to-face, distance and one-to-one learning).
- Knowledgeable of adult learning principles and its application at program design and development.
- Experience in delivering training and facilitating student-centred learning strategies.
- Experience with Training of Trainers / Facilitators programs and performance support methodologies.
- Familiar with PPD Program and WtMSF Courses.
- Field experience with MSF.
- High level of English; French/Arabic will be a plus.
CONDITIONS
- Position based in any MSF OCBA Hub (preference for Amman, Dakar or Nairobi). Final location will be subject to the employability of the preselected candidate (residency, work permit, etc.).
- Contract duration: permanent contract.
- Full time job (40 hours per week).
- Annually gross salary: HQ – 3A (divided in 12 monthly payments) + secondary benefits based on MSF OCBA Reward Policy. Subjected to local conditions.
- Starting date: November 2022.
