Information Management Specialist At Danish Refugee Council

Danish Refugee Council, one of the world’s leading humanitarian NGOs, is currently looking for a highly qualified Information Management Specialist to be based in Warsaw, Poland.

The Danish Refugee Council (DRC) is a leading protection agency with a mandate to promote and protect durable solutions to conflict and displacement affected populations on the basis of humanitarian principles and human rights. DRC is implementing a multi-sector response to support Ukraine refugees, IDPs and host populations both within Ukraine and in the neighbouring countries of Poland, Romania and Moldova and wider Europe. Since late February 2022, nearly 4 million Ukrainians and third-country nationals have crossed the border to Poland. As part of its neighboring country response, DRC is establishing an operational presence in Poland to support displaced populations through partnership with civil society organizations and national NGOs, duty bearers and other actors.

About the job

As Information Management Specialist you will be supporting DRC’s programming and project implementation by establishing and harmonizing the systems of data collection, processing, analysis and dissemination across programme sectors. This includes the design of policies, SOPs and provision of technical input and support on information management to the field teams and other relevant units as requested/required. You will also produce high-quality IM products for reporting, advocacy and support to DRC’s internal monitoring and evaluation. Your main duties and responsibilities will be:

Support programming and project implementation

  • Review and reinforce the process for regular programme progress tracking, primarily for grants implemented by the partners (NGOs or CSOs in Poland).
  • Review and finalise data processing documentation for UNHCR-funded Blue Dot project.
  • Establish data processing documentation for SGA for all partners implementing Blue Dots project.
  • Provide capacity building and support partners staff trainings on IM requirements for the Blue Dot projects
  • Develop division of labour between IM, MEAL and Programme teams.
  • Establish Information Management system and develop forms, tools and databases for capturing, evaluating and improving project implementation
  • Ensure consistent response from the MEAL department to requests for information
  • Explore innovative means for capturing and using data, storing information and documentation, and managing information
  • In collaboration with the IT & MEAL departments, design and maintain a web-based platform for capturing and sharing implementation data and information.

Data quality, analysis and sharing

  • Disseminate reports to clusters, donors and stakeholders as requested
  • Create online forms as requested by the Manager
  • Under the supervision of the Manager, establish Information/Database Management policies and procedures

Undertake any other tasks assigned by the line manager

  • Ensure that all sources of verification are cross-examined prior to reporting
  • Conduct data quality checks to the data/information periodically
  • Ensure timely and effective collection of data from data sources and identify appropriate data sources.
  • Ensure every programme has a documented engagement with beneficiaries in initial, mid-term and before closure of the project with learning points shared and actioned
  • Produce monthly reports of project progress including accurate data-analysis and gaps
  • Produce and update information products such as reports, charts, info-graphics and other visual materials in order to support and improve project implementation and reporting
  • Update 3W matrix with information and data from the relevant sector.

Data protection

  • Develop Data Protection policy
  • Establish Data Sharing agreements under Blue Dots projects and across programmes
  • Ensure the security of all shared information

About you

To be successful in this role we expect you to have at least 3-5 years’ experience in a relevant field. Moreover, we also expect the following:

  • Master’s degree in political science, international development, economics or other relevant field
  • Excellent skill in MS Word, Excel, and PowerPoint
  • Professional proficiency in English
  • Professional proficiency in Polish, or Ukrainian or Russian
