JOB DESCRIPTION
General:
As part of the digitalization of work tools, and under the responsibility of the Deputy Executive Director, you have the role of facilitator in the management of information in WaCA. You are responsible for ensuring the application of digital archiving standards, the centralization of information and the promotion of information management tools.
Under the supervision of the Deputy Executive Director and in functional connection with the Deputy Director General/SITS, he/she shall:**
Objectives
· Guarantee the organization and systematic archiving of documents and the popularization of collaborative work tools
Main Responsibilities
· Ensure the availability and organization of information for all users
· Be the focal point for access to information (communication with other departments and missions in the centralization of information)
· Promote the use of the new information management tools made available (e.g. SharePoint, Teams, etc.) and the best practices for using these tools.
Main activities
- Ensures that information is updated and organized according to the defined structure
· Ensures centralization and ease of access to information for all the staff
· Manages user access rights
- Is responsible for the day-to-day operations related to the information archiving system
- Identifies gaps and failures in the information system (security, access, fluidity of information, etc.) and is a force for proposals for improvements to this system
- Implements minor changes to the improvement of the information system
- Is in charge of briefings and trainings/ capacity building of users of information management tools (new and old users, headquarters and missions)
· Accompanies the new missions and projects in the implementation of the tools of the information system
- Collaborates with IT and digital transformation teams
JOB PROFILE
Education / Qualification / Prerequisites
· University degree or equivalent in Information Management, Information Science or Computer Science
· Experience in an international national organization, ideally in the humanitarian and MSF sector is desirable
· Essential knowledge in digital archiving methods
Competencies / Skills
· Mastery of information management standards and rules of good practice
· Master collaboration tools ideally SharePoint, Teams, etc.
· Knowledge about data protection management (GDPR)

· Ability to work in a team
· Strong interpersonal skills
· Rigor and sense of detail
· Excellent coordination, monitoring, and organizational skills
· Autonomous and reliable
Experience Professionnit is required
· Two (2) years of relevant professional experience
Language skills
· Ability to communicate clearly in writing and orally in Both English and French.
Computer Skills
Minimum
· Mastery of Microsoft office, Excel, Word PowerPoint
Desirable
· Microsoft Office 365 (desirable SharePoint, Teams, Power BI)
· Microsoft Dynamics
