Org. Setting and Reporting

The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide. This position is located in the United Nations Global Service Centre, Brindisi, Italy within the Warehouse & Distribution, Delivery & Return Section, Supply Chain Service. This position reports directly to the Chief, Warehouse & Distribution.

Responsibilities

Within delegated authority, the Logistics Assistant will be responsible for the following duties: Supply: • Supports more senior staff with respect to all aspects of major services contracts. • Maintains database used by DPKO and field missions to monitor mission specific and Systems Contracts reports. • Acts as focal point for the production of field mission cost estimates. • Maintains supporting files and database with respect to Supply section Letters of Assistance (LOA). • Controls and manages supply related items requisitioning and delivery. • Records contract actions and monitors activity. This includes coordinating with missions on delivery schedules, follow-up and receipt of Receiving and Inspection (R&I) Reports, verification of invoices against R&I reports, recording contract status at all stages of processes. • Manages and maintains records of the procurement thresholds set for each contract. • Initiates requisitions when required, records deliveries, progressive funding and expenditures, liaises with missions on receipts and associated actions. Transport • Manages and maintains records of the direct provisioning process. • Assists in preparation and compilation of the Aviation Safety Annual Report. • Assists in the execution of technical evaluations for long and short-term contracts. • Establishes and maintains relevant reference library. • Co-ordinates with missions on spare parts consumption rates and usage patterns. General • Liaise with all Asset Lifecycle Managers to receive and dispose of written-off items per the recommendations of the Director (D/UNGSC)), Local Property Survey Board (LPSB) or Headquarters Property Survey Board (HPSB); • Maintain an accurate Property Disposal Documentation for liquidation purposes. • Manage Disposal database on ERP systems (SAP/UMOJA), process Write-Off Notifications and report any discrepancies, delays or any other outstanding issues to the Chief Supply Chain Performance Section and/or Cost centers for any required actions. • Manage Administrative Write-Off (AW) cases by examining all the pertinent documentation and maintaining a case file in line with property management regulations. • Follow up on Disposal cases as and when required (Insurance Companies, Custom, Buyers and Local Authorities). • Create Sales Orders and ensures that the proper SAP procedure is followed • Prepares relevant Letters of Assistance (LOAs) and obtains the funding certification. • Familiarizes new staff with respect to work requirements and applicable UN guidelines and office procedures. • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures . • Performs other duties as required.

Education

High school diploma or equivalent is required.

Job – Specific Qualification

Driving license type “B” is required. Driving license type “C” is desirable. Forklift operator certificate (minimum 3 Tons) is required. Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.

Work Experience

Five (5) years of experience in supply management, contracts administration, warehousing or logistics related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first-level university degree or higher. Experience in SAP/ERP and related modules in support of logistics processes is required. Experience in the Write-Off and Disposal area is desirable. Forklift operator experience (minimum 15 Tons) is desirable. Experience in data analytics or related area is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by an informal interview.
