Background:

Welthungerhilfe is a private, non-profitmaking, politically independent and non-denominational organization that supports people living in deprivation and poverty, irrespective of the color of their skin, their religious beliefs or their worldview. WHH is working in the fields of development cooperation and humanitarian aid, relief aid, rehabilitation and reconstruction.

Overall Role:

Under the direct supervision of the Supply Chain Senior Officer, the Logistics Officer provides efficient and effective logistics support to the projects assigned to him/her:

  • Fleet management
  • Manage office services and maintaining all logistic records

Responsibilities of the Logistician:

  • Receiving of all new procured assets from vendors as per the approved Purchase Orders.
  • Prepare GRN and receive commodity and goods and ensure compliance to Contract /LPO quality and quantity.
  • Coordinating with the Procurement Unit to prepare all the necessary documents to record the asset’s details as per the procurement document and assigning WHH Assets ID Tag.
  • Maintain a proper filing of all documents related to WHH’s Assets (New, Old, lost, stolen items etc)
  • Prepare the necessary of Assets Handover form and submit to the Supply chain senior officer for endorsement before assigning any assets to staff.
  • Collect physically all assets from the staff at the time leaving WHH verifying record with Asset List.
  • Assist Supply Chain Senior Officer in conducting of the physical count of CO Assets and property reconciliation report for all the WHH offices.
  • Responsible for safekeeping the hard copies and soft copies of the asset management forms, fleet management forms, warehousing documents, distribution reports, and other relevant documents relating to supply chain.
  • He/she is also responsible for giving feedback from the program staff to the supplier and vice versa.
  • Monitoring of the goods sent by partner at zero point (border).

Management of Store/Warehouse

  • Maintain proper store/warehouse record keeping and initiate to dispatch from the warehouse/store as per the approved Distribution Plan
  • Ensure that all Waybill/Dispatch Order is completed and signed and ensure the acknowledgment of receipts by the program teams
  • In coordination with the Supply Chain Senior Officer to establish warehouses systems and ensure appropriate warehouse management procedures in line with required standards.
  • Responsible for keeping track of all supplies received and dispatched through the Warehouse Tracker and for keeping documentation for these movements intact, including acknowledgement from beneficiaries for distributed goods/kits

Fleet management:

  • Fleet and drivers’ management, including schedule drivers’ duty and allocate vehicles
  • Prepare weekly vehicle movement plan.
  • Follow up on the log Sheet.
  • Follow up in signing the monthly crossing permission.
  • Maintain and monitor data management system to organize fleets as per various schedules and requests
  • Arrange fleets and fleets operational staff to provide support and schedule Special Event Planning.
  • Oversee proper maintenance of parts and other consumables’ inventory.

Other duties:

  • Attend staff meetings, write minutes, and circulate them if required.
  • Maintain a proper filling of all documents for future audit and record keeping.
  • Prepare weekly, monthly, and quarterly status reports for all Asset, inventory, and fleet.
  • Make administrative and logistics arrangement of project activities (meetings, workshops etc.) when required.
  • Supervise the work of drivers, cleaners and receptionists.
  • Record and distribute incoming and outgoing correspondence, including emails, parcels and hand delivered messages and monitor responses
  • Regularly update the index of contact addresses (phone/ email).
  • Support the logistics of visitors’ programs, and manage travel requirements (tickets, flight and hotel booking, transport, etc.)
  • In addition to the above, the Logistician may be asked to carry out other duties requested by the Supply Chain Senior Officer.

Required Qualifications:

    • Position open to Syrian nationals onlyEducation: University degree or college. – Work Experience: Minimum three-years professional experience in Logistics, preferably on similar position in a non-profit organization – Skills/knowledge:
  • Previous experience in logistics.
  • Proven knowledge of computerized systems; high degree of computer literacy and word processing and Excel skills
  • Knowledge file management, transcription, and other administrative procedures.
  • Ability to work with minimum or no supervision with the ability to deliver tasks timely.
  • Ability to report to remotely located management
    • Social Skills: Ability to build a network and work in a team under pressure.
    • Language Skills: English and Arabic highly required (written & spoken).
