CONTEXT AND JUSTIFICATION OF THE POSITION:

The incumbent of the relevant post will be responsible for the effective implementation of various administrative procedures and activities. He/she must interpret available guidance and standard practices, while being able to recommend actions to colleagues at different levels and delegate tasks to other support staff.

MAIN FUNCTIONS AND RESPONSIBILITIES (indicative and non-exhaustive list):

1. Ensure proper storage/preservation of assets and equipment and ship newly acquired assets to the appropriate location;

2. Ensure the inspection and verification of technical conformity, quantity and quality of new acquisitions in accordance with the details of the purchase order and delivery note;

3. Receive the NFIs ordered by the purchasing unit, and ensure the quantity and quality of the items received in accordance with the purchase order;

4. Establish a system for controlling stocks of supplies, consumables and the Organization’s property;

5. Regular and monthly monitoring of fuel intake for light vehicles and generators 6. Plan physical inventories of equipment in accordance with the Organization’s requirements;

7. Identify assets requiring repairs and take necessary action; ensure that asset repairs and maintenance are carried out in accordance with the asset repair and maintenance contract;

8. Serve as the office’s Travel Focal point for official field missions by producing travel documents on time based on the approved monthly mission plan;

9. Serve as the first point of contact for internal requests for information regarding the organization of missions and facilitate the efficient and effective resolution of problems encountered on a daily basis in the field of missions.

QUALIFICATIONS AND EXPERIENCE REQUIRED:

Training:

  • A university degree in finance, administration, economics or other related field is required for this position.

Desired experience:

  • At least five (5) years of professional experience, at similar levels of responsibility.
  • Minimum two (2) years of experience in the field of administration.

Language skills:

  • Mastery (level C) of the French language (spoken and written) and/or intermediate knowledge (level B) of English.
